As a Valuation Coordinator for Hagerty Marketplace, you evaluate incoming vehicle submissions, research market values, set auction reserves, and communicate recommendations to sellers. Every vehicle that reaches the platform passes through your evaluation first. Your work directly determines acceptance rates, reserve accuracy, and the quality of inventory offered to buyers. This role requires deep knowledge of the collector vehicle market, confident judgment on vehicle values, and the ability to negotiate with sellers to align on pricing that supports successful auction outcomes.
What you’ll do
- Review new vehicle submissions daily in Contentful; flag obvious accepts or declines during intake, then transfer submission data (year, make, model, VIN, reserve request, estimated value, state) into the Auction Management tracker; standardize vehicle names and trim designations as needed.
- Check title status during intake; flag titles not in the seller's name before proceeding. Common situations include estate sales, open titles, and undisclosed liens.
- Research market values using Classic.com (primary), the Hagerty Valuation Tool for directional context, KBB for post-2010 vehicles, and Bring a Trailer for niche configurations. Identify 2-3 comparable sold listings per vehicle.
- Set the recommended reserve at or just below the low end of the expected sale range. The reserve floor is $8,000. Recommend no-reserve for lower-value vehicles or when condition makes a reserve risky. For modified vehicles, assess whether modifications add or subtract from value and whether the buyer pool supports a reserve.
- Decline vehicles that do not meet platform standards due to condition, title issues, or market fit.
- Send valuation recommendation emails to sellers via Salesforce using team-aligned templates. Personalize every communication: use the seller's first name, reference the specific vehicle, and add relevant context.
- Negotiate reserve amounts with sellers who counter the initial recommendation. Use comparable sales and rerun examples to support positioning. Follow the defined follow-up cadence: one follow-up at approximately two business days, a final follow-up at approximately two weeks.
- Once a seller accepts terms, send the acceptance email with document upload instructions (title, ID, Terms and Conditions). Update Contentful with the agreed reserve, lot status, and document request triggers. Reassign the Salesforce case to the Coordinator team queue. Post acceptance to the team Slack channel with lot details for the downstream team.
- Maintain complete records in the Auction Management tracker for every submission. Every row requires both a status and an action entry before moving on.
- Escalate borderline or high-value vehicles to the Sr. Ops Manager before finalizing a recommendation.
- For Professional Seller lots, your role is limited to HOA number assignment and Auction Management entry. The Business Development Lead aligns reserves directly with dealers on these lots.
- Communicate proactively with team members via Slack. Participate in team meetings, calibration sessions, and process improvement discussions.
