Summary: 

We are seeking a Vendor Coordinator to own vendor lifecycle management at the firm including vendor onboarding, performance management, risk management, contract management, and offboarding.   The Vendor Coordinator will play a critical role in aiding vendor and contract related decision-making throughout various departments and in driving savings and economic value. The Vendor Coordinator will work closely with strategic sourcing partners across the firm such as Market Data and Technology to deliver seamless workflow for the business. The Vendor Coordinator will report to the Expense Operations Lead and aid the Expense Operations Lead in delivering a best-in-class expense management platform for one of our clients. 

Responsibilities: 

  • Developing and managing vendor relationships in support of and under the guidance of end users and department heads. Aligning the needs of the business unit and company’s vision and interests 

  • Developing processes, tools, prioritization rubric and standards to help support global vendor management including RFQ/RFI templates, onboarding workflows, risk assessments and certification reviews, performance tracking, cost analytics, and SLA performance management tools (scorecards and dashboards) 

  • Negotiating vendor contracts, renewal of services, SLA and performance measurements, and the full lifecycle of vendor interactions, in compliance with policies and procedures 

  • Supporting the design and enhancement of tools for use in vendor management 

  • Overseeing a repository of vendor contracts or utilizing a similar solution to track key dates (expirations, renewals) to assess demands and initiate proper planning efforts 

  • Providing operational support and coverage for all purchasing related activities as needed 

  • Build deep cross-functional relationships with Legal, Compliance and other key internal stakeholders.  

  • Prepare recurring reporting to Finance, COO, business users, and/or other stakeholders.  

  • Leverage emerging technologies in the vendor management and contract lifecycle space to deliver best-in-class platform to the Firm 

Qualifications/Skills Required: 

  • A Bachelor’s degree in supply chain management, business, or a finance-related field 

  • At least 5 to 10 years of experience in a Sourcing or Vendor management role or related activities 

  • At least 5 years of experience working in a similarly situated role in a comparable industry 

  • Strong knowledge and experience of the entire vendor lifecycle and processes 

  • Understanding of market dynamics and sound business judgment 

  • Excellent written and verbal communication skills with an outstanding ability to manage relationships 

  • Functional knowledge of vendor management software required, Workday ERP knowledge a plus. 

  • Willingness to travel to meet and oversee vendors relationships and be onsite where services are performed or new products are introduced
