At Aquila, we invest in category-defining B2B/B2G software companies globally, acting as a thought-partner, striving for the success of our companies in the long term. We are a well-managed, profitable company that operates like a startup with the financial backing of a parent company. For our people, this means limitless possibilities.

We are unapologetically unique, pivoting to respond to the needs of the multiple markets we operate in. We have ambitious goals, and we are looking for genuine contributors with integrity, energy, flexibility, and loyalty. We are investing in building future leaders who can take an idea and make things happen.

Who we need

For over 45 years, Fame has been a trusted partner to post-secondary schools. We recognize the challenges that career school administrators face in managing their institutions, from streamlining operations to ensuring regulatory compliance. At Fame, we provide the support and tools needed to navigate these complexities and run academic institutions efficiently. Our student information systems, supporting tools, and Admission CRM Software, including powerful EDlumina, help simplify and streamline these processes.

Reporting to the Virtual Financial Aid Disbursement and Drops Team Lead, we are hiring a Virtual Financial Aid Disbursements and R2T4 Specialist to join our Virtual Financial Aid Office. As our new Virtual Financial Aid Disbursements and R2T4 Specialist, you will play a critical role in ensuring federal student aid is processed accurately, compliantly, and on time for the schools we support. You will manage financial aid disbursements, Return to Title IV (R2T4) calculations, refunds, and related processes while partnering with school administrators to resolve day-to-day financial aid questions and maintain compliance with federal regulations. Working across multiple systems and supporting a portfolio of assigned schools, you will help ensure financial aid operations run smoothly through careful auditing, attention to detail, and a commitment to accuracy.

This is a remote role open to candidates anywhere in the United States. While candidates in any U.S. time zone are welcome to apply, working hours should align primarily with the Eastern Time zone.

Who you are

You have experience working in financial aid administration and understand the importance of accuracy, compliance, and attention to detail when managing federal student aid. You are process-driven and organized, with the ability to manage competing priorities while consistently producing high-quality work. You naturally catch errors, ask questions when something doesn't seem right, and take ownership of your work. Whether collaborating with school administrators or supporting colleagues, you communicate clearly, build trusted relationships, and are equally comfortable working independently and as part of a remote team.

What’s in it for you

Meaningful impact. Behind every disbursement, refund, and compliance check is a student relying on financial aid to continue their education. Your work will help schools administer federal aid accurately and efficiently, ensuring students receive the support they need while maintaining compliance with complex regulations.

Develop your expertise. You will join a team that values learning and sets you up for success through structured onboarding, hands-on shadowing, and ongoing collaboration. As you build confidence across disbursements, Return to Title IV calculations, and financial aid operations, you will deepen your expertise in a highly specialized area of higher education administration.

A collaborative remote team. Although you will independently manage a portfolio of schools, you will never work in isolation. You will be part of a close-knit, cross-trained team that shares knowledge, supports one another, and works together to ensure consistent service and coverage for every client school.

How you will make an impact:

  • Ensure timely and accurate financial aid disbursements. You will process federal Title IV aid disbursements, ensuring funds are released accurately, on schedule, and in compliance with federal regulations and school requirements. Through careful review and attention to detail, you will help ensure students receive the financial support they are entitled to while maintaining the integrity of the financial aid process.
  • Manage withdrawals and refund processing. You will perform Return to Title IV (R2T4) and institutional refund calculations, process student withdrawals, and ensure all required documentation and reporting are completed accurately. Your work will help schools remain compliant while supporting students through changes in their enrollment.
  • Partner with schools to support day-to-day operations. You will serve as a trusted resource for your assigned schools, responding to questions, providing guidance on financial aid processes, and helping resolve operational issues. By building strong relationships and delivering responsive support, you will contribute to a seamless financial aid experience for school administrators and students.
  • Maintain quality and compliance. You will audit your work, identify discrepancies, and ensure financial aid records remain complete, accurate, and aligned with regulatory requirements. Working across systems including FAME, COD, and internal tools, you will help protect compliance while supporting efficient financial aid operations.
  • Collaborate and continuously improve. You will work closely with your team to share knowledge, provide coverage across assigned schools, and contribute to process improvements. As regulations and operational needs evolve, you will embrace new learning opportunities and help strengthen the consistency and quality of the services we provide.

Here’s what you bring:

  • The financial aid expertise. You have experience administering federal financial aid and a strong understanding of Title IV regulations, including disbursements, Return to Title IV (R2T4) calculations, and refund processing. You are confident in interpreting regulatory requirements and applying them accurately in a fast-paced environment.
  • The technical skills. You are comfortable working across financial aid and student information systems to manage complex processes and maintain accurate records. Experience with FAME software, COD, NSLDS, or similar financial aid platforms is highly valued, and you are confident in learning new technologies and navigating multiple systems simultaneously.
  • The attention to detail. You take pride in producing accurate work and have a disciplined approach to reviewing, auditing, and validating information before it is finalized. You can manage multiple priorities without compromising quality and recognize the importance of precision in a highly regulated environment.
  • The communication skills. You build positive working relationships with school administrators, colleagues, and, when needed, students and families. You communicate clearly, explain complex information in an approachable way, and are committed to providing responsive, professional service.
  • The mindset. You are self-motivated, curious, and comfortable working independently in a remote environment while knowing when to ask questions or seek guidance. You enjoy collaborating with others, embrace opportunities to learn, and contribute to a team that values accuracy, accountability, and shared success.
