Role OverviewThe VP, Systems & Operations owns the operational systems that run the business end-to-end, with a core focus on applying automation and agentic AI as the primary lens for how Envision Horizons scales over time. This role is responsible for how work flows across teams, how decisions are made and standardized, and how the company grows capacity with intention. Success is not defined by personally running every function, but by creating operating leverage through systems, workflows, and decision support that enable the business to scale intentionally and responsibly. The role partners closely with Finance, department leaders, and internal and external development teams to translate operational needs into scalable systems and automation, requiring strong judgment about what should be automated, how it should be implemented responsibly, and how adoption is driven across teams.
While this role does not own day-to-day client delivery, billing, or HR execution, the systems and workflows it designs will directly influence delivery consistency, throughput, capacity planning, and hiring decisions over time.
How You Will Make an ImpactOperational Systems Ownership & Scaling- Own the systems that support how the business runs across teams, including how work is requested, scoped, executed, tracked, and reviewed
- Establish operating rhythms that connect systems, metrics, and leadership decision-making
- Identify opportunities to standardize repeatable decisions and streamline how work moves through the organization
- Partner with functional leaders to translate current ways of working into scalable operational systems
- Apply automation and agentic AI to reduce manual work and improve consistency across operational workflows
- Identify where AI agents can support repeatable tasks, structured decision-making, exception handling, and operational monitoring
- Apply automation to workflows such as pricing, service configuration, onboarding, delivery setup, and capacity-related processes
- Ensure automation is implemented with appropriate human review, accountability, and clear ownership
- Evaluate tools, vendors, and partners and make practical build-versus-buy recommendations
- Develop and maintain a practical model that ties revenue growth to capacity needs by role
- Help leadership determine which work should be automated and which roles should be added as the business grows
- Partner with Finance and department leaders to align capacity decisions with margin goals and delivery requirements
- Provide scenario planning to support thoughtful, scalable team growth
Governance & Adoption
- Establish standards for system usage so automation outputs are trusted and adopted
- Drive adoption through enablement and clarity rather than mandates
- Sequence change appropriately for a small, nimble organization to minimize disruption while maintaining momentum
- Experience: Minimum of 8+ years of progressive experience in operations, business operations, analytics, or systems-focused roles within a professional services, consulting, or technology-enabled organization. Experience operating in a growing or changing environment is strongly preferred.
- Systems and Automation Mindset: Demonstrated ability to evaluate and implement systems, automation, or workflow improvements that improve efficiency and consistency. Experience applying AI to internal operating workflows is strongly preferred. This role is focused on optimizing how the business runs rather than commercializing AI products or go-to-market solutions.
- Applied AI Judgment: Ability to apply automation and agentic AI to internal decision-making, workflow orchestration, and operational efficiency. Success in this role requires experience using AI to streamline internal systems and reduce manual effort, not solely enabling external-facing or customer-facing AI use cases.
- Financial Acumen: Strong understanding of how operational decisions impact margin, capacity, and hiring. Comfortable partnering with Finance to ensure growth decisions are grounded in data and aligned with business goals.
- Strategic and Practical Leadership: Ability to design operational approaches that support scale while remaining pragmatic and appropriate for a small, nimble organization.
- Communication and Influence: Strong written and verbal communication skills with the ability to work across teams, align stakeholders, and translate complex operational challenges into clear, actionable solutions.
