Wholesale Operations Coordinator

Summary:

The Wholesale Operations Coordinator will provide operational support for one or more Key Wholesale account(s). Acting as the primary communication and operations liaison, this role bridges Customer, Sales, Planning, Distribution Center, and Transportation teams to achieve sales goals & maximize account profitability for assigned account(s). The Coordinator will manage end-to-end order fulfillment—from forecast to delivery—ensuring compliance with export/import regulations, regional requirements, and account-specific guidelines. This individual will collaborate with cross-functional partners to streamline processes and deliver exceptional customer service. The ideal candidate is organized, detail-oriented, coachable, and thrives in a fast-paced environment with shifting priorities.

Key Job Responsibilities:

·       Manage life cycle of sales orders from forecast to delivery (OTS, EDI, order entry & booking, etc.).

·       Maintain the operational relationship between Tarte and wholesale account(s), delivering tailored product information and inventory availability for each customer(s).

·       Provide daily, weekly and monthly updates regarding order status to Sales, Customer and Management.

·       Collaborate with Sales and Marketing to align supply chain and channel allocation for product launches and seasonal campaigns.

·       Actively engage with international field teams and regional managers to gather on-the-ground insights about customer preferences, competitive dynamics, and market-specific challenges.

·       Coordinate with international retail partners to schedule pick-ups and ensure timely delivery and collaborate with Global Logistics & Regulatory teams to complete all compliance and shipping documentation.

·       Ensure account contractual obligations are met through problem solving and analytical skills, and trouble shoot orders as appropriate and elevate issues through proper channels as they arise.

·       Research and resolve claims, returns, and chargebacks in a timely manner by working with appropriate departments.


Required qualifications:

·       Minimum 1-3 years Operations Management/Customer Service/Supply Chain experience

·       BA/BS degree or equivalent experience

·       Microsoft Navision or any other ERP system experience

·       Strong attention to detail and excellent organizational skills

·       Excellent Customer Service

·       Ability to analyze data and make determinations to proactively identify business opportunities

·       Excellent verbal and written communication skills, ability to work independently and cross-functionally

·       Ability to multitask

·       Works well under pressure, possesses a sense of urgency, can prioritize tasks as needed, and adhere to deadlines
