What We Are Looking For:

Distyl is looking for a sharp, energetic Office Coordinator to own the day-to-day experience of our New York office. This role is perfect for someone who thrives off being around people, is obsessively detail-oriented, and gets genuine satisfaction from making things run smoothly. You'll be the person who notices when something's off—whether it's a messy conference room or vendors not delivering—and fixes it before anyone has to ask.

You'll be the face of our NY office: greeting guests, coordinating events, managing logistics, and ensuring our space reflects the high bar we set as a company. This is a high-visibility, high-impact role where you'll work closely with leadership, support a growing team, and help shape our office culture from the ground up. Key Responsibilities:Office Operations & Logistics
  • Own the day-to-day operations of the NY office—keep it clean, organized, well-stocked, and running like clockwork

  • Manage vendors and build relationships with: cleaning services, security, catering, building management

  • Handle building logistics including COIs, access requests, maintenance coordination, and compliance requirements

  • Track and manage office budget for supplies, food, events, and operational expenses

  • Maintain inventory of office equipment and supplies, support IT setup for new hires, and troubleshoot basic tech issues

  • Greet new hires on Day 1 and ensure they have everything they need for a smooth start

  • On-site five days per week

Guest & Employee Experience
  • Be the welcoming face of Distyl, greet guests, partners, and new hires with professionalism and warmth

  • Plan and execute in-office events, celebrations, and other initiatives that bring the team together

  • Order meals for team lunches, meetings, and events with attention to dietary preferences, quality and presentation

  • Serve as the go-to resource for employee questions on facilities, office needs, and day-to-day logistics

  • Drive feedback loops to continuously improve the office experience

Qualifications:
  • 2+ years of experience in office management, operations, or administrative support (startup or fast-paced environment strongly preferred)

  • Excellent interpersonal skills—you enjoy working with people and making them feel welcome

  • Relentlessly detail-oriented—you notice what others miss and take pride in getting the small things right

  • High agency and resourcefulness—if something's broken, you fix it; if something's missing, you solve for it

  • Strong organizational skills with the ability to juggle multiple priorities without dropping the ball

  • Excellent communication skills and ability to work across teams with professionalism

  • Comfortable managing vendors, building relationships, and holding people accountable

  • Proactive problem-solver who anticipates needs before they become issues

Note: This role will be based in our New York office. You will be required to be in office 5 days per week.
