Your day-to-day is…
- Coaching and mentoring the team to ensure consistent, high-quality executive and employee support.
- Establishing and monitoring metrics for team performance, executive satisfaction, and overall workplace experience.
- Developing and documenting workflows for core administrative and office activities like calendaring, travel coordination, expense reporting, facility maintenance, and supply management.
- Supporting Executives directly in an Executive Assistant capacity.
- Collaborating with cross-functional teams to ensure seamless execution of executive-related projects and consistent, smooth experiences for all employees.
- Anticipating and proactively resolving scheduling or administrative challenges to optimize executive productivity.
- Utilizing technology to monitor, report, and optimize all support activities, ensuring that tasks, travel, and expenses are managed with precision and accountability.
- Identifying opportunities for operational improvement and implementing cost-effective solutions.
- Working alongside the office coordinator by welcoming guests, clients, and candidates, connecting them to the people or resources they’re seeking.
- Triaging the internal email and ticketing system.
- Assisting with new hire onboarding & orientation logistics.
You’ll be successful in this role if you have…
- Meaningful (5+ years) experience in administrative and office operations management, with at least 3 years in a supervisory role where you hired, trained, and built scalable processes that support executive and employee needs.
- A strong process-oriented mindset, with expertise in designing scalable workflows.
- Exceptional communication and interpersonal skills, enabling you to interact confidently with stakeholders at all levels.
- A proactive and resourceful approach to problem-solving, with a focus on delivering high-impact results.
- A consultative and confident approach in leading and developing your team. You provide direction while empowering your team to anticipate and meet executives’ and employee’s expectations.
- Proficiency with executive admin technologies, such as task tracking tools, with a proven ability to make admin functions more measurable and transparent.
- An unwavering commitment to excellence, coupled with the humility to adapt and grow with feedback.
- The mentality of an entrepreneur/owner and a strong bias to action. You’re proactive in solving challenges and ensuring all processes meet the highest standards.
- Humility. You believe in treating all people with dignity and respect, regardless of title or tenure.
- A fundamental understanding of resource management and budgeting. You’re skilled at balancing costs and service quality.
- Demonstrated admin, coordinator, or equivalent experience (preferred).
