WHO WE'RE LOOKING FOR

The Recording Academy is seeking a highly organized and proactive Administrative Assistant to support the daily administrative needs of the Diversity, Equity, and Inclusion team. You have a passion for music, a commitment to Diversity, Equity, and Inclusion, and experience in fast-paced, mission-driven environments. You thrive on managing multiple priorities with care, efficiency, and attention to detail, and are comfortable working both independently and cross-functionally.

WHAT YOU'LL DO

Schedule & Meeting Support

  • Maintain calendars for the Director and Manager of DEI, evaluating and prioritizing meeting requests and handling scheduling logistics.
  • Prepare daily briefings covering upcoming meetings, calls, and schedule changes.
  • Serve as a front-facing point of contact for internal stakeholders, partners, and external contacts.
  • Coordinate team meetings and events, including agendas, catering, conference room/AV setup with Facilities and IT, and guest greetings.
  • Take notes and prepare minutes with clear follow-up tracking.

Travel & Expenses

  • Coordinate travel logistics (flights, hotels, car service) and prepare itineraries.
  • Manage receipts, expense reports, and vendor/consultant invoices, ensuring timely submission and appropriate coding.
  • Provide travel support and handle post-trip expenses.

Organization & Administrative Support

  • Maintain organized systems for contracts, invoices, NDAs, and departmental documentation.
  • Support onboarding for new hires (interns and consultants) including paperwork, supplies, and information.
  • Provide administrative support for GRAMMY Week and GRAMMY Awards show events, including ticket distribution for the DEI team.
  • Additional project-related duties as assigned.
SKILLS & EXPERIENCE
  • Bachelor’s degree with 2 to 4 years of related experience.
  • Entertainment, nonprofit, and/or mission-driven organization experience preferred.
  • Strong working knowledge of MS Office (Outlook, Word, Excel, PowerPoint), Google Programs, and Airtable.
  • Must be highly organized with strong attention to detail and accuracy.
  • Ability to manage competing priorities and problem-solve under the pressure of deadlines.
  • Professional written and verbal communication skills.

SALARY AND BENEFITS

The starting rate for this position is $21.05 to $22.73 per hour, benchmarked against industry standards. Rates for positions required to be in specific geographic locations reflect the corresponding labor market. 
 
The actual offer extended will depend on the candidate's experience, qualifications, and the role's requirements. Positions working 20+ hours per week also receive our comprehensive benefits package (with medical, dental, and vision coverage, a 401k match, generous paid time off, and more).

Through the generosity of our donors and volunteer professionals, our dedicated team works across the country to ensure the music community has the resources and support it needs.

GRAMMY MUSEUM

The GRAMMY Museum is a nonprofit organization dedicated to celebrating and exploring music from yesterday and today to inspire the music of tomorrow through music preservation, education, exhibitions, and public programming and aims to create a world in which shared love of music sparks curiosity, creativity, and community. Programs include GRAMMY in the Schools education programs that are offered year-round for students, teachers, and schools throughout the United States.
