The Administrative Assistant provides essential day-to-day administrative support to ensure the smooth operation of the organization. This role is responsible for performing a variety of clerical and office-related tasks, including managing incoming mail, organizing documents, maintaining records, and supporting staff with administrative needs.

The Administrative Assistant serves as a support resource for the administrative teams, helping to maintain an organized, efficient, and professional work environment.

Responsibilities:

  • Open, sort, distribute, and process incoming mail and deliveries.
  • Prepare outgoing mail, packages, and correspondence.
  • Maintain organized filing systems, both electronic and paper.
  • Scan, upload, and file documents accurately and timely.
  • Assist with data entry and record maintenance.
  • Answer and direct phone calls, take messages, and assist with general inquiries.
  • Monitor and maintain office supplies, placing orders as needed.
  • Maintain accurate records while ensuring confidentiality and compliance with company policies.
  • Assist with organizing and maintaining office spaces and common areas.
  • Assist with copying, printing, and assembling documents and materials.
  • Abide by PAX Health's Code of Ethics and model values.
  • Other duties as assigned within the scope of the role.

Requirements

Qualifications:

  • High school diploma or equivalent preferred.
  • Minimum of 1-2 years of administrative or office support experience preferred.
  • Experience in healthcare, behavioral health, or medical office setting is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Ability to prioritize tasks and work independently in a fast-paced environment.
  • Strong customer service and interpersonal skills.
  • Reliable, professional, and team-oriented.
