An Administrative/Virtual Assistant provides administrative, organizational, and customer support to businesses, managers, executives, or remote teams. The role involves managing schedules, emails, documents, data, meetings, and day-to-day office tasks while ensuring work is completed accurately, efficiently, and professionally.
Key Responsibilities
Manage calendars, appointments, meetings, and schedules.
Respond to emails, phone calls, messages, and customer inquiries.
Organize and maintain digital files, documents, and records.
Perform data entry and update spreadsheets, databases, and company systems.
Prepare documents, reports, presentations, invoices, and correspondence.
Schedule meetings and coordinate virtual appointments.
Take meeting notes and follow up on assigned tasks.
Assist with travel arrangements, reservations, and itineraries when needed.
Manage email inboxes and prioritize important communications.
Conduct online research and gather information for business needs.
Assist with customer service and respond to client requests professionally.
Coordinate with employees, clients, vendors, and business partners.
Maintain confidential company and client information.
Track deadlines, projects, and administrative tasks.
Assist with basic bookkeeping, invoicing, and expense tracking when required.
Manage online platforms, CRM systems, project-management tools, and other business software.
Support managers and team members with daily administrative needs.
Complete special projects and other duties as assigned.

Typical Qualifications

Experience with tools such as Microsoft Office, Google Workspace, Zoom, Slack, Microsoft Teams, Trello, Asana, or CRM systems is beneficial.
Reliable computer, internet connection, and professional remote-work environment for virtual positions.
