Primary Purpose: The Assistant - Legal Affairs, in addition to performing project work, will provide high-level administrative support to three Vice Presidents (VPs) in Tapestry’s Legal Department at its NY Headquarters, with particular focus on calendar management, meeting coordination and timely processing of legal invoices and payments. The role will act as a key liaison between the VPs and other members of the Legal Department and the other teams/functions within the company. This position requires a high level of discretion, good judgment and the ability to interact with all levels within the organization and external stakeholders on a regular basis. The role will report the VP & Deputy General Counsel and is a hybrid role, requiring in-person work from the NYC Hudson Yards office at least three days per week.

The successful individual will leverage their proficiency in organization, administration, and project management to...

  • Provide day-to-day complex calendar management for three Vice Presidents in the Legal Department, including prioritizing meeting requests, resolving scheduling conflicts, coordinating internal and external participants, and preparing meeting logistics, agendas, materials, and follow-up items.
  • Draft and edit correspondence, presentations, and other documents.
  • Manage emails and filing, as needed.
  • Coordinate domestic and international travel and logistics, including visa applications, itineraries, flights, hotels, and prepare and submit travel & expense reports, reconcile corporate card expenses and uphold company T&E policies.
  • Research, prioritize and follow up on legal development meetings and projects; assist with prioritizing incoming issues / concerns.
  • Assist with document review.
  • Manage certain department systems and workflows.
  • Assist with corporate subsidiary document preparation and coordinate signature requests.
  • Set up legal vendors in Tapestry’s vendor management systems, coordinate requests for third party due diligence for legal department vendors, and maintain accurate vendor, matter, and billing information needed for invoice processing.
  • Process legal invoices and settlement payments, including routing invoices for review and approval, confirming matter coding and supporting documentation, tracking payment status, troubleshooting discrepancies with vendors and Finance, and ensuring compliance with applicable billing and payment procedures.
  • Regularly communicate and interact with cross-functional Tapestry teams, particularly with respect to fact-gathering and document/data collection.
  • Maintain positive relationships with internal & external business partners and vendors.
  • Maintain confidentiality with respect to sensitive information and projects.
