ABOUT THE DEPARTMENT:

The Drawing & Prints Department’s vast collection of works on paper comprises approximately 21,000 drawings, 1.2 million prints, and 12,000 illustrated books created in Europe and the Americas from about 1400 to the present day. Since its foundation in 1916, the Department has been committed to collecting a wide range of works on paper, which includes both pieces that are incredibly rare and lauded for their aesthetic appeal, as well as material that is more popular, functional, and ephemeral. The broad scope of the department’s collecting encourages questions of connoisseurship as well as those pertaining to function and context, and demonstrates the vital role that prints, drawings, and illustrated books have played throughout history.

GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

As the Associate Administrator, Drawings & Prints, you will oversee all administrative functions for the department and provide general support to visiting fellows, volunteers, and interns. You will oversee the departmental operational budget and efficiently manage the Friends Group and Visiting Committees. You will catalogue and process incoming reference books, handle departmental correspondence, and serve as the primary point of contact for the department.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Manage membership, correspondence, and programming for the department’s support group, Friends of Drawings and Prints.

  • Provide stewardship for the department’s Visiting Committee.

  • Schedule appointments, register new visitors, and maintain calendar for the Drawings and Prints Study Room; welcome and orient visitors upon arrival.

  • Provide logistical/planning support for departmental events, as needed.

  • Answer main phone line and oversee departmental inbox; assist with general inquiries.

  • Oversee departmental operating budget and liaise with Finance Department.

  • Catalogue and process incoming reference books for department library.

  • Assist with departmental scheduling and prepare meeting reports minutes.

  • Prepare and file non-exclusive license agreements.

  • Oversee expense reports related to travel and other general expenses for reimbursement.

  • Serve as the Human Resources representative; manage onboarding new staff, fellows, interns, and volunteers; oversee timekeeping in Workday. 

  • Serve as CLG Representative, overseeing the technology approval process and acting as liaison.

  • Create and track JIRA work orders related to facility maintenance.

  • Assist with production and distribution of annual departmental newsletter.

  • Other related administrative duties as assigned.

REQUIREMENTS & QUALIFICATIONS:

  • Bachelor’s degree in art administration, art history, museum studies, or related area preferred.

  • 2-3 years working in an administrative capacity required.

  • Experience with Outlook, PowerPoint, Excel, Workday, and JIRA.

  • Experience with TMS Collections or other collections management system.

  • Excellent written and verbal communication skills and interpersonal skills.

  • Excellent organizational skills, including the ability to manage time and multitask.

  • Embraces role as a team player and builds collaborative relationships across the institution.

COMPENSATION RANGE:

  • Pay Range: $75,000 - $82,000

The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The advertised pay scale is not a promise of a particular wage for any specific employee. The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.

Location Requirements

At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
