About the role:

Chanel, Inc., a leader in the luxury goods industry, seeks an Associate, VIP Relations to support the needs of our VIP Relations team in New York.  The candidate will help supporting activities around VIP events and needs, logistics & department organization, managing VIP reports & monthly recaps, partner with the fashion, fine jewelry & beauty press teams around VIP activation, and maintain confidentiality at all times. This position may require weekend work as necessary, pending the team’s needs and schedule.

  • Multi-tasking in a fast-paced environment with shifting priorities while maintaining composure, discretion, and professionalism
  • Supporting the VIP team with event logistics and preparation (VIP hair & makeup coordination, travel & car reservations, updating charts & fitting schedule, flower deliveries & room drops)
  • Assist the VIP team with service agreement contracts 
  • Support with talent proposals and ideation for VIP activation
  • Support the team with creating decks, recaps and other types of reporting tools
  • Support the US celebrity relations budget across three divisions (Vendor setup, invoice & payment tracking, vendor resolution and coordination, lead internal billing process and procedure, monthly expense report tracking)
  • Manage VIP gifting tracking and deliveries throughout the year and during the holiday season
  • Effectively coordinating travel & logistics required for VIP activities and events (i.e., Booking flights, cars, greeters & compiling itineraries)
  • Provide comprehensive executive support to the Head of Brand Communications, including calendar management and travel coordination
  • Reimagine the logistics processes of the VIP team
  • Liaise with legal, finance and insurance teams for billing updates and needs
  • Provide on-site event support where relevant
  • Communicating and networking with a variety of personalities
  • Build out efficient processes and directly impact brand image.
  • Proactively keeping your office and work environment stocked with supplies and positive energy

What you will bring to the team:

  • Familiarity with using our media monitoring platforms (Lefty, Coverage Book)
  • Strong Microsoft Office Skills to create Who’s Who Documents, and compile event related reporting (PowerPoint, Excel, Teams)
  • Familiarity with expense reports and admin work
  • Discretion and always maintaining privacy when working with talent and their teams
  • Flexible schedule with ability to work late nights, weekends and some holidays
  • A positive attitude and adaptability in a variety of situations

Position Logistics:

  • Role based in New York City, requires minimum of 3 days in-person office presence in our Midtown Manhattan office 
  • Strong working knowledge of Excel, PowerPoint, word and other Microsoft Office 365 applications.
  • High level organizational skills
  • Ability to multi task
  • Ability to successfully build relationships and trust across external/internal partners
  • Strong communication skills
  • 2-3 years of experience
  • Bachelor’s degree preferred

Compensation:

  • The anticipated base salary range for this position is $26 through $34. Base salary is one component of the total compensation for this position. Other components [may/will] include additional compensation, benefits and perks.
