Immediate Start Required

The Opportunity

We are hiring a Business Operations Intern to work directly with our Chief Operations Officer, Head of Customer Success and the Ops team at the center of a fast-scaling AI startup. This is a high-trust, high-learning role designed for someone early in their career who wants deep exposure to how a venture-backed company operates day-to-day.

You will sit at the intersection of leadership, execution, and internal systems—supporting the company’s operating rhythm, coordinating across teams, and building the foundational processes that allow InstaLILY to move faster as we grow.

This role offers direct mentorship from the executive team and visibility into the company’s highest-priority initiatives across growth, GTM, partnerships, product, and operations. This internship also offers the possibility of conversion to a full-time role.

Who You Are

We are looking for someone hungry to learn, relentlessly organized, and energized by high-stakes execution. You move fast, take ownership naturally, and raise the quality of everything you touch.

You thrive in environments with shifting priorities and high standards, and you enjoy building systems that make teams more effective. You will use AI tools aggressively to increase leverage, stay one step ahead of leadership needs, and ensure nothing falls through the cracks.

What You’ll DoExecutive Support & Operating Rhythm
  • Support inbox, calendar and scheduling coordination for the CEO, COO, and Chief of Staff
  • Prepare meeting briefs with context, attendee research, and pre-read materials
  • Capture notes, decisions, and follow-ups to maintain execution velocity
  • Draft internal updates, memos, and executive communications as needed
  • Build lightweight tracking systems so leadership stays focused on the highest-leverage work
Cross-Functional Coordination
  • Act as a connector across GTM, product, partnerships, and operations teams
  • Help translate strategic priorities into structured workflows and action plans
  • Coordinate stakeholder meetings, demo requests, and partnership inbound
  • Track timelines, dependencies, and ownership across multiple fast-moving workstreams
Systems & Process Building
  • Design reusable templates, checklists, and operating systems that scale
  • Improve internal information flow across inboxes, meetings, and handoffs
  • Identify execution gaps and implement pragmatic solutions quickly
  • Build operational dashboards and proactive alerting for bottlenecks
Events & Office Operations
  • Support planning for team offsites, partner dinners, and company socials
  • Assist with logistics for visiting candidates, teammates, and external guests
  • Help maintain a high-functioning, high-energy NYC office environment
What We’re Looking ForRequired
  • Bachelor's degree or equivalent experience
  • Strong attention to detail and exceptional organizational rigor
  • Clear written and verbal communication
  • Comfort operating in ambiguity with shifting priorities
  • Bias for action—you proactively solve problems before being asked
Nice to Have
  • Interest in startups, operations, or company-building
  • Experience supporting multiple projects simultaneously
  • Desire for deep exposure to founders and fast-paced execution
What You'll Get
  • Real traction: The product works, customers are live, and we've already driven over $200M in incremental revenue for customers. This isn't a bet on an unproven thesis.
  • Stage: Early enough to shape how the company scales.
  • Hands-on from day one: You own outcomes.
  • Culture: Offices in New York, San Francisco, and London. Sharp, low-ego team moving fast.
  • Growth: The learning curve is steep.
Compensation and Benefits
  • Salary Range: $3,500-$5,000 per month, commensurate with experience
  • Benefits: In-office lunch reimbursement
Quality Over Quantity

To ensure a focused, high-quality hiring experience, we kindly ask candidates to limit their applications to 3 open requisitions at any given time. Applying strategically to roles that best align with your skills and career goals gives you the highest chance of standing out. Have you interviewed with us in the past 12 months? We encourage you to reach out directly to your previous interviewer rather than submitting a new application.

Instalily is committed to providing an inclusive and barrier-free recruitment process. If you require an accommodation, please let us know, and we will work with you to meet your needs.
