JOB OVERVIEW:

Responsible for supporting the day-to-day needs of agents, clients and other client services team members to accomplish client related projects; support client relationships, internal-team relationships, and account operations during the development and execution of all client business affairs, including accounts receivable, marketing, PR, charitable, and social media. Provide high-level executive administrative support including organizing, scheduling, and coordinating administrative activities. Participates in new business development efforts such as recruitment and / or marketing material development.  Under the direction of executive management, this position also prepares reports, presentations, and meeting agendas.

This position must be based in Los Angeles, CA, New York, NY, or Fort Lauderdale, FL.

WHAT YOU'LL DO: 

  • Supports day-to-day schedules of clients, client service team, and agents, which includes managing calendars, appointments, travel logistics, interviews, family affairs, and marketing commitments.
  • Supports client “off field” relationships and communicates with agents to keep them informed of client needs.
  • Support baseball staff with all tasks related to client service and management.  
  • Handles logistics leading up to and throughout major events, including the draft, All-Star, etc.
  • Develop and maintain season-long player marketing and partnerships initiatives calendars; manage calendar of talent marketing events and partnerships initiatives.
  • Coordinate, execute, and track client’s contractual commitments, including social media posts and appearances.
  • Manage and support planning, execution, and analysis/recaps of ongoing talent partnerships.
  • Prepares invoices, reports, memos, letters, financial statements and other documents, using Word, Excel spreadsheets, or presentation software.
  • Maintains department databases, generates reports, and process miscellaneous paperwork as required.
  • Perform administrative tasks including file management, sponsorship invoicing, player equipment, etc.
  • Plan travel itineraries, coordinate related arrangements, gather information and determine and negotiate complex scheduling issues; prepare expense reports.
  • Handle company, staff, and client personal matters with discretion.

WHAT WE'RE LOOKING FOR:

  • Bachelor’s degree (sports management, business administration, comm., or finance a plus).
  • Must be fluent bilingual in Spanish/English
  • Must have valid passport to facilitate international travel requirements
  • Must be customer service focused in order to provide the best possible support to clients and internal staff.
  • Requires considerable flexibility in scheduling and the willingness to work nights and weekends.
  • Requires a passion for sports and business.
  • Advanced skills in Microsoft Office. Proficient in Adobe Creative Suite a plus.
  • Strong understanding of social/digital media.
  • Well-developed communication skills and ability to interact with people of all demographics.
  • Strong analytical, organizational, and project management skills.
  • Requires self-management and project management abilities.
  • Ability to build strong and lasting relationships.
  • Ability to anticipate problems and manage expectations.
  • Ability to maintain confidentiality and professionalism in all situations. Ability to exercise discretion, sound judgment and significant initiative.

Base salary range: $60k-$70,304, plus bonus potential if applicable for role.
Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees. Compensation decisions are dependent on circumstances of each role.
