MAIN JOB OBJECTIVE

We are seeking an exceptionally organized, detail-oriented, and proactive Creative Operations Coordinator to be a pivotal member of the Global Creative Operations team. This role is central to ensuring the execution and operational efficiency of all creative initiatives, including multi-channel campaigns, social/digital, packaging design, and VMSD.

The coordinator will be responsible for end-to-end project coordination, managing timelines and resources within Workfront, and serving as primary communication between creative teams, internal stakeholders, and external partners. Job Description

JOB RESPONSIBILITIES

  • Assist in the coordination and tracking of creative projects from inception to completion, ensuring deadlines are met and deliverables are on track.  Manage project timelines and resource allocation through Workfront, maintaining efficient workflows, including scheduling and resource allocation.
  • Act as a central point of contact for creative teams, internal stakeholders, and external vendors, facilitating clear and timely communication.
  • Sample Coordination: Manage the product sample closet, ensuring samples are readily available and ordering new stock as needed to support various creative initiatives and photo shoots.
  • Assist in the coordination of packaging design projects, including managing timelines and copy documents between marketing, storytelling, and translation agencies.
  • Support the execution of VMSD projects, including coordinating with cross-functional partners, and providing project management support for North America events.
  • Vendor Management: Facilitate relationships with creative vendors, including processing new vendor onboarding paperwork, creating POs, and tracking invoices to ensure timely payments and budget adherence.
  • Provide general administrative support to the Creative Operations team, such as scheduling meetings, sharing recap notes and routing approvals.
  • Support broader creative projects as the brand and creative evolves. 

What you will learn (and/or achieve) in the first 6 months:

  • Build working relationships with creative team and key cross functional partners
  • Support management of multiple concurrent projects (all at different stages of product development cycle)
  • Learn and understanding the variances between creative workflows 

What you will achieve in 12 months:

  • Anticipate team needs + understand how to prepare for always on-time deliverables
  • Handle range of projects independently, demonstrating excellent problem-solving skills and ability to prioritize
  • Own and optimize sample management system, implementing best practices for inventory management
  • Independently manage vendor process
  • Serve as informed liaison between creative, marketing and cross functional teams

Physical Requirements:

  • Must be able to remain in a stationary position on average of 7.5 hours/day.
  • Light to moderate lifting may be required.
  • While performing the duties of this job, the employee may be regularly required to stand, sit, reach, stoop, kneel, and operate a computer, telephone, and keyboard.

Qualifications

PROFILE

  • Bachelor’s Degree or equivalent work experience required
  • 1-4 years of proven experience in coordination, project management, or administrative support role, ideally within a creative department, marketing agency, or the beauty/fashion/lifestyle industry.
  • Exhibit a keen ability to be proactive as well as handle a multitude of projects at one time managing timelines and deliverables.
  • Experience in project management platforms such as Workfront, Monday, or Asana
  • Thrives in fast-paced and ever-changing environment, flexible, ability to wear many hats at once.
  • Strategic thinker, Agile Partner, Developed Organizational Skills, and Problem Solver
  • Curious and collaborative mindset with the ability to foster teamwork at all levels of the organization
  • Excellent verbal, interpersonal, and written communication skills
  • Action and result oriented Strong computer skills in Microsoft Excel, Word and PowerPoint, as well as understanding of creative applications like Adobe Creative Suite.
  • A genuine passion for brand building, the brand's aesthetic, and contributing to its creative development process.
  • Familiarity with Digital Asset Management (DAM) systems is a plus.
