As a Client Transactions Coordinator at Newmark, you will be embedded within a dedicated client account team and provide tactical, day-to-day support across real estate transactions, occupancy activities, and lease compliance. This role is based full-time, onsite, at the client’s New York office (not a Newmark office), where you will work directly alongside the client’s team and coordinate closely with Newmark’s internal teams to keep documentation, reporting, and portfolio tasks moving accurately and on schedule.
This role is ideal for a detail-oriented, proactive professional early in their real estate or lease administration career who wants hands-on exposure to a large corporate account and a clear path to grow into a Transaction Manager or Account Manager role.
ResponsibilitiesWhat You’ll DoServe as an embedded, onsite coordination point at the client’s office for client-assigned tasks tied to real estate transactions, occupancy logistics, and lease compliance across the client’s portfolio.
Support Corporate Real Estate (CRE) professionals with lease documentation, acquisitions, dispositions, estoppel certificates, SNDAs, lease amendments, notices, and related transaction materials, ensuring alignment with client policies.
Maintain accurate project files and lease/transaction database records, ensuring timely entry, filing, and compliance tracking for active transactions and occupancy-related activities.
Assemble closing and approval packages, coordinating with internal client stakeholders and legal/finance teams to keep documentation complete and on schedule.
Track project progress, deliverables, and required documentation against deadlines, and follow up proactively to keep items on track.
Review monthly portfolio reports for accuracy and assist in preparing client-facing reporting materials.
Prepare and manage correspondence with landlords and other external stakeholders related to occupancy, lease obligations, and lease administration.
Assist with the resolution of routine landlord/tenant issues in collaboration with transaction managers, legal teams, and client contacts.
Use Newmark’s lease administration and transaction-tracking platforms to maintain critical-date tracking, abstraction accuracy, and standard reporting.
Support consistent, high-quality service delivery on the account, escalating issues to the Transaction Management Lead as needed.
Performance in this role is evaluated against the account’s service-level standards, including:
Turnaround time on closing/approval packages and landlord correspondence
On-time tracking and follow-up of documentation deadlines
Responsiveness to client and internal team requests
Bachelor’s degree preferred, or equivalent combination of education and experience.
3–5 years of experience in real estate, legal, lease administration, or client operations.
Familiarity with lease documents, estoppels, SNDAs, and other transaction-related instruments.
Strong organizational, written communication, and project coordination skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint); comfort learning lease administration and transaction-tracking platforms and databases.
Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Excellent attention to detail and a proactive approach to problem-solving.
Professional demeanor; occasional flexibility to join early or late calls with international stakeholders as needed.
