Early Childhood at Manny Cantor Center is an inspired, responsive and progressive preschool serving children ages 0-5 years old, built on the following principles: all children are competent, capable, and curious; all families have something to contribute; we are stronger together. Our pioneering blended-funding early childhood center incorporates Head Start, Early Head Start, 3-K, Universal Pre-K and tuition funding to serve all families on the Lower East Side and beyond.
We are seeking a full-time Data Manager who will serve as a point of contact for governance, data quality, and protection issues, and work closely with the School Leadership team, Associate Director of Compliance, and Research Associate and Program Leadership to improve the quality and value of core data assets and respond to regulatory requirements as well as support the strategic requirements of the department.
RESPONSIBILITIES
Child/Personnel Files
- Review files quarterly to ensure all documents are up to date
- Work with ERSEA committee and all relevant parties to ensure families’ Head Start and DOE eligibility is documented and updated as needed.
- Work in collaboration with the Program Coordinators to maintain up-to-date digital files for preschool children, as required by DOH, DOE and Head Start on the One Drive
Data Management / Systems Management
- Manage data entry process and conduct quarterly quality assurance in all areas of ChildPlus and DOE Vendor Portal databases to ensure data integrity.
- Review updates to databases and assist staff accordingly with new features or system updates.
- Troubleshoot data-related and report-related problems.
- Works closely with Research and Evaluation team to ensure impact/outcome data is collected where appropriate.
- Review data with program leadership monthly to ensure validity and quality.
- Communicate trends in data with program leadership, to assist managers in pivoting service delivery as needed.
- Run reports to accurately provide program numbers for monthly agency dashboards, monthly funder reports, and other documentation of service delivery as needed.
- Work with program staff to identify data needs and modify database accordingly.
- Performance tuning of database and systems.
- Diagnose and troubleshoot database and data entry errors.
- Assist staff with day-to-day database questions and reporting (daily)
- Merge duplicate entries and correct data entry errors (monthly)
Program Compliance
- Collaborate on compliance measures throughout the preschool. Review and implement standards to ensure compliance with federal Head Start Performance Standards (HSPS), NYC DOE, DOH and other applicable government agencies.
- Support on audits, inspections and site visits. Follow up regarding any findings or violations.
Interactions with Staff, Children and Families
- Build respectful and reciprocal relationships with staff, children and families so that compliance processes center stakeholder’s dignity, privacy and strengths.
- Build cross-functional relationships within our preschool and agency to maintain program efficiency and delivery of services.
- Maintain all responsibilities of Mandated Reporting.
Other
- Attend staff meetings, professional development, program enrichment and other events as assigned (sometimes outside of work hours).
- Perform other duties as required.
QUALIFICATIONS
- Bachelors’ Degree in relevant field and/or professional experience working with databases.
- Experience working with ChildPlus required, and DOE Vendor Portal a plus
- Excellent interpersonal skills and ability to communicate effectively, both orally and in writing
- Ability to work effectively as a member of a team in a collaborative environment
- Ability to interact comfortably with parents and colleagues
- Ability to multitask with tracking various data streams simultaneously; while prioritizing work
- Adhesion to strict deadlines and preemptive planning to meet agency timelines and renewal periods
- Prior experience in DOE, UPK, Early Head Start, Head Start, School Age Child Care setting preferred
- Knowledge of MS Office and basic computer skills required
- Ability to maintain confidentiality of records and information
- Some experience in writing grants is preferred
- Bilingual in Spanish, Mandarin or Cantonese is a plus
