Overview

Cleary Gottlieb is a pioneer in globalizing the legal profession. We have fourteen offices in major financial centers around the world, but we operate as a single, integrated global partnership and not a U.S. firm with a network of overseas locations. The firm employs approximately 1,100 lawyers from more than fifty countries.

Since 1946, our lawyers and staff have worked across practices, industries, jurisdictions, and continents to provide clients with simple, actionable approaches to their most complex legal and business challenges, whether domestic or international. We support every client relationship with intellectual agility, commercial acumen, and a human touch.

Reporting to the E-Billing Manager, the E-Billing Specialist assists in all phases of client billing, including submission, follow-up and communication with clients, members of the Client Account team, and partners related to electronically billed invoices. This is a detail-oriented, technically-focused position that combines strong Excel, systems and interpersonal skills with the ability to manage multiple deadlines across a high-volume e-billing portfolio.

Responsibilities
  • Maintain firm master files (e.g., timekeeper names, titles and hourly billing rates) in client and third-party e-billing vendor systems, ensuring data is accurate and kept current.
  • Submit and coordinate client invoices/e-bills to client and third-party e-billing vendor websites, utilizing e-billing templates, LEDES formats and other firm software tools.
  • Regularly monitor the status of e-billed invoices through BillBlast to confirm successful submission to clients and proactively identify invoices requiring attention.
  • Inform members of the Client Account team of rejected or failed invoices, diagnose the cause of rejection, and work with them to correct and resubmit invoices to clients within required timeframes.
  • Analyze and submit timekeeper classifications and billing rates for client approval, in coordination with the Global Pricing Operations Team, and track approval status through to resolution.
  • Review outside counsel guidelines and client billing requirements, and translate applicable cost constraints, billing rules and invoice formatting requirements into the accounting and e-billing systems.
  • Assist with configuration, testing and maintenance of mappings within BillBlast, including updates required by new client onboarding, system upgrades or changes to client requirements.
  • Troubleshoot e-billing exceptions, discrepancies and system errors, escalating complex or unresolved issues to the E-Billing Manager as appropriate.
  • Maintain accurate records and documentation of client-specific e-billing requirements, vendor platform credentials and submission protocols.
  • Generate and analyze e-billing reports (e.g., rejection trends, aging and submission status) to identify recurring issues and support process improvement.
  • Respond promptly and professionally to inquiries from clients, coordinators, partners and vendor help desks regarding invoice status, rejections and system requirements.
  • Support the E-Billing Manager with special projects, including new client implementations, vendor platform migrations and process documentation.
  • Stay current on e-billing vendor platform updates (e.g., BillBlast, CounselLink, Legal Tracker, Tymetrix) and recommend process efficiencies as systems evolve.
Qualifications
  • Bachelor's degree preferred, or equivalent relevant work experience.
  • 2+ years of e-billing, billing or accounts receivable experience, ideally at a law firm or professional services firm.
  • Working knowledge of e-billing vendor platforms (e.g., BillBlast, CounselLink, Legal Tracker, Tymetrix, Collaborati) required.
  • Strong proficiency in Excel (e.g., formulas, pivot tables, VLOOKUP) and Word.
  • Familiarity with LEDES billing formats and law firm billing/accounting systems (e.g., Aderant, Elite) a plus.
  • Excellent organizational, interpersonal and communication skills, with strong attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment, including occasional evening or weekend work to meet month-end deadlines.
  • Strong analytical and problem-solving skills, with the ability to identify root causes of invoice rejections and recommend corrective action.
  • Clear and professional written and verbal communication skills, with the ability to explain technical e-billing issues to non-technical audiences.
  • Ability to work collaboratively in a fast-paced, deadline-driven environment.
  • Able to work independently, prioritize competing demands, and exercise sound judgment on when to escalate issues.

The estimated base salary range for this position is $85,000 to $95,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance.
