The Role

The Events Coordinator will support the planning and execution of adMarketplace’s hosted events, sponsorships, and industry conferences. This person will play a key role in coordinating logistics, managing timelines, supporting onsite execution, and helping deliver high-quality experiences for clients, partners, prospects, and internal teams.

Working closely with Marketing, Sales, Creative, and external vendors, the Events Coordinator will help bring events to life from initial planning through post-event follow-up. This is an ideal opportunity for someone early in their career who is highly organized, detail-oriented, and excited to grow within event marketing.

What You’ll Do:

Event Planning & Execution

  • Support the planning and execution of hosted events, sponsorship activations, industry conferences, and internal events

  • Coordinate logistics for site visits, venue walk-throughs, planning meetings, and onsite event support

  • Assist with managing event timelines, budgets, vendors, venues, catering, AV, shipping, travel, staffing, and production/logistics details

  • Help coordinate event orders and onsite materials including signage, giveaways, name badges, swag, and attendee materials

  • Provide onsite support across a range of operational needs and adapt quickly in fast-paced event environments

  • Assist with maintaining event documentation, budget, processes, calendars and project trackers to improve scalability and efficiency

  • Be responsible for event recaps and measurement to inform future planning

Cross-Functional Collaboration

  • Partner closely with Marketing, Sales, Business Development, Product teams to support event goals and attendee experiences

  • Coordinate with internal stakeholders to align branding, collateral, executive participation, speaking opportunities, and event communications

  • Support audience acquisition efforts by helping manage invitee lists, registrations, outreach, and follow-up communications

  • Collaborate on promotional efforts for events, including email campaigns, social media, and customer communications

Vendor & Partner Coordination

  • Serve as a point of contact for vendors, venues, sponsors, and external partners throughout the event planning process

  • Represent adMarketplace’s brand and business priorities

  • Support sponsorship deliverables and help ensure fulfillment of branding and partnership commitments

  • Assist with vendor coordination, contracts, approvals, and event logistics management

Reporting & Optimization

  • Help track event performance metrics including attendance, engagement, meetings, and budget tracking

  • Support post-event reporting, lead capture, surveys, and follow-up processes

  • Contribute ideas and recommendations to improve event processes, attendee experiences, and future event performance

Qualifications

  • 1+ years of experience in event coordination, marketing, hospitality, client services, or a related field (adtech experience a plus)

  • Exceptional written and verbal communication skills

  • Strong organizational and project management skills, with the ability to manage multiple priorities simultaneously

  • High attention to detail and commitment to quality and accuracy

  • Collaborative mindset with strong interpersonal skills and the ability to work cross-functionally

  • Highly motivated self-starter with a strong work ethic and demonstrated reliability

  • Quick learner who can take direction, anticipate needs, and thrive in a fast-paced environment

  • Positive, high-energy attitude and passion for creating exceptional experiences

  • Experience in advertising, media, adtech, marketing technology, or B2B events is a plus

  • Familiarity with event platforms, registration tools, or CRM systems is a plus

Compensation: $65,000 - $75,000 + Bonus & Equity
