Concourse is building the operating system for State and Local governments. Our platform is a configurable approach to tackling fragmented government data and workflows, turning them into smooth operations for public servants and the constituents they serve.
As Executive Assistant to the CEO and Office Manager, you make sure our CEO's time goes to the highest-value work and our New York office runs smoothly. You manage the CEO's calendar, travel and follow-ups, and you own everything about the office, from vendors and supplies to team events.
This role is for someone with great instincts: you see what's coming before anyone asks, and you handle it. You also use AI tools to supercharge your work, so you can move faster and more efficiently.
What You'll DoManage the CEO's calendar: schedule meetings, keep it free of conflicts, and protect time for priorities
Keep a clear to-do list for the CEO and make sure every action item has an owner and gets closed
Book travel for the CEO and team: flights, hotels and ground transportation, with itineraries sent ahead of time
Coordinate meetings and visits: scheduling, materials and logistics
Run the New York office day to day: lunch, snacks, coffee, supplies and building requests
Be the main contact for the landlord, building management, cleaning and facilities vendors
Manage door access, visitor check-in and deliveries
Manage our existing network of relationships
Keep shared spaces organized, and own office projects like furniture, phone booths and AV setup
Track office equipment and supplies, and reorder before anything runs out
Coordinate onsite interviews with the hiring team so candidates have a smooth experience from arrival to departure
Help onboard new hires: laptops, equipment, desk setup and a great first day
Plan team events from venue search to final headcount, including the annual holiday dinner and offsites
Celebrate birthdays, work anniversaries and team milestones
Handle conference and trade show logistics: registrations, hotels, calendar holds and shipping booth materials
Help with light finance tasks: approving bills, tracking spend and organizing receipts
Keep company documents and records organized and easy to find
2+ years of experience as an executive assistant, operations coordinator or office manager, ideally at a fast-growing startup
Experience supporting recruiting or scheduling, booking corporate travel, or planning events in New York City.
Highly organized and detail-oriented; you keep many moving schedules straight and close every loop
Clear, warm written communication with candidates, vendors and teammates
High tech fluency, including with Google Workspace (Calendar, Gmail, Drive) and Slack; experience with Ashby or another applicant tracking system is a plus
Comfortable using AI tools to supercharge your work
Calm under pressure when plans change the same day
This role is in-person, five days/week in NYC.
About ConcourseConcourse is the fastest-growing govtech, providing software to more than 100 state and local governments across the U.S.
Government calls what we do "IT modernization." We call it a trillion-dollar opportunity to overhaul how government works. Public services are broken not because of bureaucracy but instead because they run on antiquated, user-unfriendly software from legacy vendors.
Some examples: Concourse is powering the legislative management system for one of America's largest cities, a state's entire online bail payment system, and a case-management platform for mental-health response teams.
We are an AI-native company. Our org structure and staffing model are radically different from those of legacy tech companies: we have a flat team of superstar generalists who both own client relationships and manage fleets of long-horizon AI agents.
