About Actively AI

Actively AI is defining a new category: Intelligence-Led Revenue.

Revenue organizations have always been bottlenecked on human capacity. Reps triage which accounts get attention. Context disappears at every handoff. On any given day, the vast majority of accounts have exactly zero people thinking about them.

Actively addresses this at the structural level. Our platform deploys Per-Account AgentsTM across our customers’ TAM, working 24/7 to research, identify opportunities, and advance next steps without being asked. Leading enterprises including Ramp, Ironclad, and Samsara are already making this shift.

Our co-founders are former Stanford AI researchers, and the team comes from Harvard, CMU, Berkeley, Brex, Scale AI, and Google. We've raised $68M from TCV, First Harmonic, Bain Capital Ventures, First Round Capital, and more.

Role Overview

We're looking for an Executive Assistant who can operate as a true force multiplier for our C-Suite. Someone who doesn't just manage calendars and inboxes, but shapes how two executives run their days, show up externally, and stay connected to the business.

Reporting primarily to CRO Tyler John (~80%) with secondary support for Co-Founder Mihir Garimella (~20%), this person will sit at the intersection of revenue and product, serving as connective tissue between the two orgs while keeping both executives sharp, prepared, and publicly visible. You'll own everything from meeting prep and travel logistics to managing their LinkedIn presence and producing content for company and GTM all-hands. The role requires someone who already uses tools like Claude and Granola as part of how they work, has real editorial judgment, and brings the kind of social intelligence that lets them represent the C-Suite in any room.

This is fully in-person in our NYC office. Your first major project will be building the operating rhythm around both executives: establishing how their weeks run, creating workflows for recurring deliverables, and getting the LinkedIn content engine to a steady state.

What You’ll Own

Calendar & Time Management

  • Own the calendar end-to-end. This means managing competing priorities, protecting deep work time, and making real calls about what gets access and what doesn’t.
  • Flag conflicts early, build in buffer between meetings, and adjust on the fly when priorities shift.
  • Know the weekly priorities well enough to build a calendar that reflects what actually matters, not just what’s been requested.

Communications & Stakeholder Coordination

  • Be the first point of contact for anyone seeking time or attention from the executives. You represent the office, so professionalism and discretion matter in every interaction.
  • Draft and manage correspondence on behalf of both executives for scheduling, follow-ups, and coordination across the business.
  • Be a gatekeeper people trust. The answer is often “not now” and you need to deliver that in a way that still feels respectful.

Executive Brand & LinkedIn

  • Support the executives’ LinkedIn presence. They create the ideas and content direction; you help manage the process around it. That means organizing brain dumps into clean drafts, editing posts to make sure they land in the exec’s voice, managing a posting cadence, and handling day-to-day engagement. Expect to spend 1–2 hours a day on this. It requires someone who can write well and has good editorial instincts.
  • Manage engagement on their behalf: respond to comments, surface threads or posts where the exec should weigh in, and stay active in relevant conversations to build visibility with revenue leaders, potential hires, and the GTM AI community.
  • Track what’s performing and bring recommendations on cadence, topics, and format so the execs can focus on the substance while you keep the rhythm going.
  • Pay attention to what peers, competitors, and other voices in the space are saying so the content stays timely and relevant.

Travel & Logistics

  • Coordinate all travel: flights, hotels, ground transport, dining, and itineraries. Plan ahead, have backup options, and put thought into the details so the experience feels seamless.
  • Build itineraries that account for time zones, transition time, personal preferences, and any prep needed to show up sharp.

Meeting Preparation & Follow-Through

  • Make sure both executives walk into every meeting prepared. That means briefings, relevant background, pre-reads, and enough context to be effective.
  • Track action items and follow-ups from key meetings. Use tools like Granola, Claude, or Notion to build lightweight systems that capture what happened and surface what needs attention.
  • Coordinate pre-meeting logistics for executive-level engagements: board prep, customer QBRs, investor meetings, and team offsites.

Document Preparation & Operational Administration

  • Own document prep for the C-Suite’s key meetings and engagements: briefing memos, pre-read packages, exec summaries, talking points, and follow-up materials.
  • Manage expense reporting and reconciliation. Track receipts, submit reports on time, and look for ways to automate recurring reporting or streamline updates from direct reports.
  • Maintain organized systems for key documents, contracts, and correspondence so the C-Suite can access what they need without friction.
  • Support prep for board meetings, investor interactions, and pipeline reviews. Coordinate materials, manage logistics, and make sure stakeholders are aligned beforehand.

Team & Office Coordination

  • Help plan and execute team events, off-sites, and celebrations. Logistics matter, but so do the small touches that make things feel intentional. You’ll also help manage content and slides for the monthly company and GTM all-hands.
  • Serve as connective tissue between the revenue and product/eng sides of the business. Because Tyler runs revenue and Mihir owns product/eng, you’ll help ensure teams and content stay connected across both orgs. Partner with Operations to coordinate across leadership when needed.

Ad-Hoc & Personal Support

  • Handle personal coordination (reservations, recommendations, gifting, logistics) with the same care you bring to the professional side. The goal is simple: free up bandwidth for the work only they can do.
  • Handle sensitive and confidential matters with discretion and good judgment. Always.
  • Flex into other areas of support as the role and the business evolve.

What You’ll Bring

Must-Haves

  • 3+ years of experience as an Executive Assistant supporting a C-suite or senior executive, ideally in a fast-paced, high-growth company.
  • Exceptional organizational skills. You can triage a full inbox and a packed calendar without losing your head.
  • Strong communication skills, written and verbal. You’re comfortable in executive and customer-facing settings and can represent the office well.
  • Proactive by default. You spot problems before they land and fix them before anyone has to ask. You don’t wait for instructions.
  • High EQ and discretion. You get the sensitivity of the role and handle confidential information accordingly.
  • Comfortable with ambiguity. You don’t need a perfect brief to start moving.
  • Proficient in Google Workspace, Slack, Notion, Claude/ChatGPT, and standard calendar and travel tools. You move fast and don’t need a tutorial.
  • AI-native. You already use Claude, ChatGPT, Granola, etc. as part of how you work, not as something you’re experimenting with. You’ve built projects that capture how someone thinks, automated meeting notes or task tracking, or created workflows for recurring deliverables. You treat AI as leverage, not a replacement for thinking. The last 10% of polish still comes from you.
  • LinkedIn-savvy. You know what works on the platform and what doesn’t. You’ve either managed someone else’s LinkedIn presence or built your own, and you have a point of view on what good B2B content looks like.
  • Strong quality instinct. You know when something is “good enough” vs. when it needs another pass, especially when working with AI-generated output. The difference between okay and great is usually judgment, and you have it.

Nice-to-Haves

  • Prior experience supporting a revenue or sales leader (CRO, VP Sales, or similar). You know how a revenue org moves.
  • Experience in a B2B SaaS or tech company environment where speed and adaptability are the norm.
  • Good taste and attention to personal details. The gift that lands, the event people actually enjoy, the restaurant pick that feels considered.

How This Role Connects

This role works most closely with:

Tyler John, CRO (Primary) & Mihir Garimella, Co-Founder

Your two principals. Tyler is your primary day-to-day focus; Mihir receives dedicated but lighter-touch support. You’re an extension of how they think and operate.

GTM Strategy Lead

Close collaborator on scheduling GTM-wide initiatives, leadership reviews, and C-Suite functional coordination.

Operations

Coordinate with Ops team members to align on leadership-level scheduling and company-wide events.

GTM Leadership

Regular interaction around scheduling, briefings, and coordination for internal leadership meetings and QBRs.

External Partners & Customers

First point of contact for external scheduling and coordination.
