The Client Segment Risk (CSR) COO team supports the ongoing operations of the 600-person Client Segment Risk organization, which encompasses Risk Officers, Business Control Units, and Conduct & Governance functions across all client segments. CSR is a first line of defense risk function responsible for execution of controls. The team partners with business stakeholders and second and third lines of defense to execute controls, assess and report on sales practice and operational risks, and implement control processes and procedures.

This Executive Assistant role is a key position providing high-level executive administrative support to the Client Segment Risk Chief Operating Officer and broader administrative coordination for the Risk team. The Executive Assistant will interface regularly with individuals at all levels across Morgan Stanley and outside the firm. This individual must be able to manage a fast-paced work environment and juggle multiple, simultaneous projects.  This is an on-site role located in New York City. The ideal candidate is a proactive, polished professional who thrives in a fast-paced environment and is eager to contribute beyond traditional administrative boundaries.


Key ResponsibilitiesExecutive & Administrative Support
  • Maintain, manage, coordinate and prioritize the Chief Operating Officer calendar and ensure preparation for meetings, including scheduling meetings and conference calls, resolving conflicts with sound judgment and discretion, ensuring multi-media functionality and attendee tracking, as well as creating materials where necessary
  • Handle all travel arrangements for the Chief Operating Officer — including booking flights, hotels, and ground transportation; preparing detailed trip itineraries; and liaising with trip organizers.
  • Organize and submit all expenses accurately and in a timely manner on behalf of the Chief Operating Officer.
  • Answer and direct phone inquiries for the Chief Operating Officer as appropriate, maintaining a professional and courteous demeanor.
  • Assist additional team leaders with scheduling, travel, and expense submissions as needed.
  • Plan, organize, and execute logistical aspects of team events including all-hands meetings, leadership offsites, and team retreats.
  • Provide coordination and administrative support for ad hoc projects and requests that may arise from time to time.
  • Perform other general administrative duties such as maintaining files, preparing correspondence, coordinating document distribution, and supporting day-to-day office operations.
QualificationsRequired
  • Bachelor’s degree or equivalent and 7+ years of professional experience. Interest in the financial services industry a plus
  • Excellent computer skills, including the full Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, and Excel).
  • Exceptional written and verbal communication skills, including writing, editing, and proofreading.
  • Strong organizational and time-management skills, with the ability to juggle multiple simultaneous priorities and meet tight deadlines.
  • Sound judgment and the ability to make decisions independently; comfortable handling confidential information with discretion.
  • Ability to interface professionally with individuals at all levels of the organization, including senior executives
  • Detail-oriented and accurate, with a strong commitment to quality in all work product.
  • Ability to work effectively in a fast-paced, evolving environment and adapt quickly to changing priorities.

 

Preferred
  • Familiarity with Morgan Stanley and the financial services or wealth management industry.
  • Prior experience supporting a risk, compliance, or COO function.
  • Experience taking on project coordination or special projects responsibilities in addition to administrative duties.
  • Strong analytical and problem-solving skills with the ability to support data gathering, reporting, and summary preparation.
  • Energetic self-starter eager to learn and take on new challenges; comfortable operating in an environment with evolving priorities.

Expected base pay rates for the role will be between $33 and $55 per hour at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
