Job Description

The Office of the District Attorney, Bronx County (“BXDA”) is charged with the twin goals of ensuring public safety and striving for equal justice for the over 1.4 million members of the Bronx County community. By “Pursuing Justice with Integrity,” the BXDA places a focus on assistance for crime victims while simultaneously ensuring fairness to defendants. Moreover, the BXDA aims to balance the need to seek appropriate punishment for certain crimes while recognizing when punitive measures do not adequately advance justice. By recognizing these significant distinctions and acting accordingly, BXDA has established a standard of excellence in the representation of the Bronx community at large, which continues to grow stronger every day.
In furtherance of this mission, the BXDA seeks experienced and enthusiastic Executive Assistant for the Chief of Communications. The Executive Assistant serves as a key administrative liaison for the Chief, coordinating schedules, meetings, events, projects, correspondence, and other matters requiring interaction with senior leadership, internal departments, government agencies, members of the media, and external stakeholders. The position requires excellent organizational skills, discretion, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced, high-profile environment.
JOB RESPONSIBILITIES:
Specific duties include but not limited to the following:
- Provide comprehensive administrative and executive support to the Chief of Public Information / Communications.
- Manage and coordinate the Chief’s calendar, appointments, meetings, briefings, interviews, events, and other professional commitments.
- Coordinate logistics for press conferences, meetings, public events, speaking engagements, and other activities involving the Chief and District Attorney.
- Conduct research and compile background information to prepare meeting materials, agendas, briefing books, schedules, correspondence, speeches, reports, presentations, and other documents as requested.
- Assist with monitoring and organizing incoming requests and correspondence and ensure matters are appropriately referred or escalated.
- Serve as a liaison between the Chief, the District Attorney’s Office, senior leadership, internal bureaus and units, government agencies, and external organizations.
- Assist with the coordination of special projects and time-sensitive initiatives led by the Public Information / Communications Unit.
- Track assignments, projects, deadlines, requests, and follow-up items to ensure timely completion.
- Maintain organized files, records, contact lists, calendars, correspondence, and other administrative documents.
- Support the administrative operations of the Communications/Public Information Unit, including supplies, scheduling, records, and workflow coordination.
- Assist in coordinating staff meetings, training, events, and other unit activities.
- Maintain confidentiality and exercise appropriate discretion when handling sensitive information involving criminal matters, investigations, prosecutions, personnel, victims, defendants, and media-related issues.
- Perform other related duties as assigned.
PREFERRED SKILLS:
- A baccalaureate degree preferred and three (3) years of relevant administrative experience or an associate degree and five (5) years relevant administrative experience.
- Prior experience providing executive or administrative support in a government, legal, public affairs, communications, or similarly high-profile environment is preferred.
- Strong familiarity with New York City agencies, community stakeholders, and governmental functions.
- Excellent organizational, interpersonal, written, and verbal communication skills.
- Demonstrated ability to manage multiple priorities and meet demanding deadlines.
- Strong attention to detail and ability to anticipate administrative needs.
- Excellent judgment and discretion in handling confidential and sensitive information.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Ability to interact professionally with executive leadership, government officials, attorneys, law enforcement personnel, members of the media, and the public.
- Ability to independently organize projects, coordinate schedules, and follow through on assignments.
- Knowledge of New York City government, the Bronx, the criminal justice system, or law enforcement is desirable.

Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
