Provide high-level administrative and project coordination support to the CHRO: manage calendar and travel, draft and prioritize correspondence, prepare presentations and meeting materials, track projects and documentation, create basic Excel dashboards, and identify process improvements using AI and automation.
The Executive Assistant/Coordinator will be a key member of the CANTOR FITZGERALD SECURITIES:HR - Global Management team, working closely with the CHRO. This role offers an exciting opportunity to contribute to the strategic direction of the company's HR function, ensuring smooth operations and efficient project management.
Responsibilities
- Manage CHRO's calendar, scheduling meetings and coordinating travel arrangements.
- Proactively manage email correspondence, drafting responses and prioritizing tasks.
- Prepare agendas, presentation materials, and meeting minutes, ensuring timely follow-ups.
- Serve as a liaison, facilitating communication between the CHRO and stakeholders.
- Coordinate and track projects, managing timelines and deliverables.
- Organize and maintain project documentation, ensuring easy access and retrieval.
- Develop high-quality PowerPoint presentations for executive audiences.
- Support data tracking and reporting using Excel, creating basic dashboards.
- Assist in preparing internal communications and reports as required.
- Identify process improvements and leverage AI tools to enhance productivity.
- 5+ years of experience supporting senior executives, preferably in HR or corporate settings.
- Demonstrated project coordination skills, with a track record of successful cross-functional initiatives.
- Advanced proficiency in Microsoft Office Suite, with a focus on Outlook, PowerPoint, Excel, and Word.
- Exceptional organizational skills, with the ability to manage multiple priorities and attention to detail.
- Excellent communication skills, both written and verbal, with a discreet approach to handling sensitive information.
- A proactive, solutions-oriented mindset, coupled with strong problem-solving abilities.
- Experience or interest in leveraging AI and automation to streamline workflows.
