About the Role

As Pursuit’s Executive Assistant, you will support our CEO and play a critical role in managing and coordinating key meetings and activities across the organization. These meetings will be with both internal and external stakeholders, including but not limited to Board Meetings, our Partnership & Business Development team, and external meetings. In supporting our CEO, you will serve as his primary gatekeeper, manage and coordinate his schedule, and occasionally provide additional research for upcoming events. This will be a temporary role lasting between 3-4 months.

Key Responsibilities

  • CEO Calendar & Scheduling Management
    • Own and manage the CEO’s calendar with a high degree of judgment, balancing internal priorities with a wide range of external stakeholders (major donors, government officials, media, investors, conference organizers, and more)
    • Proactively identify and resolve scheduling conflicts, often under time pressure
    • Coordinate with external assistants and schedulers at partner organizations to manage complex, multi-party scheduling
    • Manage the CEO’s conference and event calendar, including travel logistics, hotel bookings, registrations, and preparation materials
  • Communications & Correspondence
    • Help monitor and respond to the CEO’s email inbox, drafting and sending responses on the CEO’s behalf with appropriate tone and judgment
    • Serve as a professional first point of contact for a wide range of external stakeholders and board members, including funders, partners, gov’t officials, and media
    • Send org-wide communications and internal updates on behalf of the CEO’s office
    • Distribute materials (pitch decks, NDAs, financial documents, legal contracts) to relevant parties as directed
  • Cross-Functional Operations & Administrative Support
    • Serve as a connector and coordinator across Pursuit’s various teams, including Partnership & Business Development, Talent, Programs, and Operations
    • Manage the CEO’s conference and event calendar, including maintaining a master planning spreadsheet for the year
    • Track and submit CEO expenses and reimbursement requests
    • Handle ad hoc research, logistical, and administrative requests from the CEO as they arise

Requirements

  • At least 2–3 years of experience supporting C-suite executives, preferably in a nonprofit, startup, or high-growth environment
  • Exceptional organizational and planning skills, with a demonstrated ability to manage multiple complex calendars simultaneously
  • Strong written and verbal communication skills; ability to draft professional correspondence on behalf of senior leadership
  • Ability to navigate relationships and communicate tactfully with a wide range of stakeholders, from major funders to candidates to government officials
  • Proficiency in Google Workspace (Gmail, Google Calendar, Google Drive, Google Sheets); comfort working across multiple shared spreadsheets
  • High degree of discretion and judgment in handling sensitive information
  • Positive attitude, genuine enthusiasm for Pursuit’s mission, and a collaborative, team-first orientation

Location: Long Island City, NY 

Compensation:  $35-45 /hr

Where you’ll work: This role allows the flexibility of working remotely. However, a hybrid work schedule is preferred if possible. Our current hybrid work schedule allows for staff to work remotely Mondays & Fridays, and come into our Long Island City Office on Tuesdays, Wednesdays, and Thursdays. 

Time Commitment: Full-time (for a 3-4 month contract)
