What We Are Looking For

The Executive Assistant to the CEO / Office Operations Specialist  provides administrative support to the President & CEO while coordinating the day-to-day operations and front-of-house experience of SMCP North America's Headquarters. This role serves as a key point of contact for executive scheduling, travel, meetings, reception, facilities, vendors, workplace experience, and employee and guest hospitality, ensuring an organized, professional, and welcoming environment that reflects the elevated standards of our brands and Group.

The ideal candidate is organized, proactive, detail-oriented, and thrives in a fast-paced environment. This individual exercises sound judgment, maintains strict confidentiality, anticipates executive and workplace needs, and delivers exceptional service to leadership, employees, visitors, and external partners.

Essential Duties and Job Responsibilities

Job responsibilities include but are not limited to the following: 

What You'll DoSupport Our President & CEO
  • Proactively manage a dynamic executive calendar, meetings, priorities, and scheduling.
  • Coordinate domestic and international travel and detailed itineraries.
  • Prepare presentations, reports, meeting materials, and expense reports.
  • Track key action items and support timely follow-up on executive priorities.
  • Handle confidential and sensitive information with the highest level of discretion.
Coordinate Executive & Company Meetings
  • Support Executive Leadership, North America COMEX, Group, and other key company meetings and events.
  • Coordinate meeting materials, presentations, conference rooms, audiovisual needs, catering, and guest logistics.
  • Partner across departments to ensure executives are prepared and meetings run seamlessly.
Create an Elevated Headquarters Experience
  • Serve as a welcoming and professional first point of contact for employees, executives, candidates, vendors, and visitors.
  • Ensure reception, conference rooms, common areas, and other guest-facing spaces consistently reflect SMCP's elevated brand standards.
  • Coordinate visitor hospitality, office events, interviews, and VIP or Group visits.
  • Help create a workplace experience that is organized, polished, efficient, and welcoming.
Keep the Office Running Seamlessly
  • Oversee day-to-day office operations, supplies, workplace amenities, facilities needs, vendors, and building coordination.
  • Proactively identify and resolve office and workplace needs.
  • Partner with building management and internal teams on facilities, maintenance, safety, and office services.
  • Support new employee arrivals and help employees navigate Headquarters resources and services.
Support Our Culture
  • Partner with our Culture Committee to bring employee events, celebrations, and engagement initiatives to life.
  • Help coordinate hospitality and special events that strengthen connection and the employee experience.
  • Support special projects and cross-functional initiatives as needed.
What We're Looking For
  • 3–5 years of experience in executive support, senior administration, office operations, workplace experience, or a related field.
  • Previous experience supporting senior leadership strongly preferred.
  • Bachelor's degree preferred.
  • Exceptional organization, time management, and attention to detail.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • A proactive mindset with the ability to anticipate needs, solve problems, and manage multiple priorities.
  • A polished, professional presence with a strong hospitality and service orientation.
  • Excellent judgment and the ability to handle confidential information with discretion.
  • Experience within luxury retail, fashion, hospitality, or a consumer-facing brand is a plus.
