As an Executive Gallery Manager within our Amenity Services Hospitality Team , you will be responsible for overseeing the daily operations of the executive office floors, ensuring a welcoming and professional environment for executives and clients. This role manages a team of receptionists, coordinates logistics for meetings and events, and serves as a key liaison between executive assistants, client center teams, and hospitality staff. The ideal candidate is warm, friendly, highly organized, and committed to delivering exceptional service.

Job responsibilities
- Lead, mentor, and support a team of receptionists, fostering professional growth, a collaborative environment and accountability.
- Schedule weekly team meetings to review goals, address challenges, and share updates.
- Champion a service-oriented mindset, ensuring all executives, executive assistants and clients receive warm, personalized greetings and farewells.
- Maintain a polished, professional atmosphere on the executive office floors and anticipate and proactively address the needs of executives, executive assistants and clients to ensure a seamless experience.
- Build and nurture strong relationships with all executives and executive assistants by actively engaging with executives, executive assistants, clients and internal partners to understand needs and deliver tailored solutions.
- Oversee desk and conference room bookings, ensuring efficient use of space and resources.
- Coordinate catering for meetings, working closely with chefs, managers, waitstaff, and planners and manage all aspects of meeting logistics, including setup, technology, and hospitality.
- Ensure compliance with building security protocols and visitor management procedures, coordinate with security teams to address safety concerns or incidents
- Serve as the primary point of contact for executive assistants, providing expert guidance and support and communicate with the Client Center team, including managers, chefs, waitstaff, and planners, to coordinate services and resolve issues.
- Liaise with Facilities management to ensure timely resolution of repairs and upkeep
- Implement best practices and process improvements for team operations and service delivery.
Required qualifications , capabilities and skills
- Proven experience in hospitality, office management, or executive support roles.
- Strong leadership and team management skills.
- Excellent interpersonal and communication abilities.
- Highly organized with strong attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficient in scheduling, booking systems, and Microsoft Office Suite.
- Warm, friendly, and professional demeanor.
