About the Role 

Asphalt Green is seeking an organized, creative, and relationship-driven External Engagement Coordinator to support the execution of Asphalt Green’s external engagement, partnership, community outreach, public relations, and visibility efforts. 

Reporting to the External Engagement Manager, this role helps coordinate external events, community activations, partnership initiatives, media tracking, CRM updates, outreach materials, and administrative support connected to Asphalt Green’s public-facing work. 

The External Engagement Coordinator serves as an Asphalt Green ambassador at external events and helps ensure the organization is represented clearly, professionally, and consistently in the community. This role requires strong communication skills, attention to detail, organization, comfort with networking, and the ability to support multiple projects at once. 

This is a hybrid-eligible role that requires frequent fieldwork, including community events, conferences, street fairs, school fundraisers, partner activations, and other external engagement opportunities.

This role directly supports Asphalt Green’s ability to expand awareness, strengthen community relationships, and maintain a consistent presence across New York City. 


What You’ll Do 

Event Coordination and External Activations

  • Support Asphalt Green’s participation in external events, including street fairs, conferences, school fundraisers, community events, and partner activations. 

  • Serve as an Asphalt Green ambassador at external events as needed. 

  • Support event-day staff with marketing materials, program information, talking points, and updates. 

  • Help ensure event staff is prepared to answer questions and represent Asphalt Green accurately. 

  • Manage event lead generation processes, including collecting, organizing, and updating leads in the CRM. 

  • Create and maintain a library of external event materials. 

  • Track external event inventory, materials, supplies, and budget updates. 

  • Complete event documentation, including participation forms, event notes, and post-event recaps. 

  • Coordinate event logistics, materials, schedules, and follow-up tasks as needed. 

Partnerships and Community Outreach

  • Collaborate with the Senior Director of External Engagement and External Engagement Manager to research, contact, and support partner relationships. 

  • Assist with outreach to community organizations, schools, local businesses, public agencies, and mission-aligned partners. 

  • Support efforts to grow membership affiliations and strengthen community partnerships. 

  • Establish and maintain local business partnerships and community connections. 

  • Take the lead on school and community auction participation, execution, tracking, and follow-up. 

  • Assist with partner lists, VIP guest lists, elected official contacts, athlete contacts, and other stakeholder lists for Asphalt Green-hosted events. 

  • Help track partnership activity, contact history, outreach status, and follow-up needs. 

Public Relations and Media Support

  • Maintain media contact databases and press lists. 

  • Track press coverage, media mentions, and relevant trends. 

  • Assist in identifying and pitching Asphalt Green news stories. 

  • Create media reports for Marketing, Communications, and leadership teams. 

  • Assist with the creation and presentation of media reports. 

  • Support media logistics, outreach preparation, and public relations materials as needed. 

  • Coordinate with Marketing and Communications to ensure external outreach aligns with Asphalt Green’s brand voice and messaging. 

Content, Materials, and Communication Support

  • Proofread external content to ensure accuracy, clarity, and alignment with brand guidelines. 

  • Coordinate with the Marketing team to develop visual assets, talking points, statistics, and materials that support external communication efforts. 

  • Help prepare materials for community board meetings, partner meetings, public-facing opportunities, and stakeholder conversations. 

  • Conduct market research and community research as requested. 

  • Support internal communication and meeting coordination related to external engagement initiatives. 

  • Help ensure external materials are organized, updated, and accessible to the team. 

Data, Tracking, and Administrative Support

  • Maintain CRM records related to events, leads, partners, stakeholders, and outreach activities. 

  • Monitor and analyze metrics and feedback to assess the effectiveness of external engagement efforts. 

  • Track event participation, outreach activity, lead generation, media coverage, and partnership updates. 

  • Support reporting needs for external engagement initiatives. 

  • Coordinate internal meetings, logistics, timelines, and follow-up tasks. 

  • Provide administrative support to the Senior Director of External Engagement, External Engagement Manager, and Chief Marketing Officer as requested. 

  • Help keep external engagement projects organized and moving forward.

A successful External Engagement Coordinator will:

  • Support high-quality execution of external events, community activations, and partnership opportunities. 

  • Keep event materials, lead tracking, CRM updates, and post-event documentation organized. 

  • Build positive relationships with community partners, local businesses, schools, media contacts, and internal teams. 

  • Represent Asphalt Green professionally at external events and public-facing opportunities. 

  • Support accurate and timely media tracking, press reports, and stakeholder updates. 

  • Communicate clearly and follow through on tasks, deadlines, and event details. 

  • Help the External Engagement team stay organized across multiple projects, events, and outreach efforts. 

  • Work collaboratively with Marketing, Communications, Development, Programs, Operations, AG Impact, and other internal teams. 

  • Contribute to stronger visibility, community connection, and public awareness of Asphalt Green’s mission and programs. 


Who You’ll Work With 

The External Engagement Coordinator works closely with the External Engagement Manager, Senior Director of External Engagement, Chief Marketing Officer, Marketing and Communications teams, Development, Programs, Operations, AG Impact, Events Manager, Events Coordinator, and other internal stakeholders. 

This role also interacts with community organizations, schools, local businesses, public agencies, elected officials' offices, media contacts, corporate partners, event organizers, families, members, and other external stakeholders. 

Qualifications

Required Qualifications 

You’ll need:

  • Strong written and verbal communication skills. 

  • Strong interest in community engagement, external relations, marketing, communications, public relations, events, partnerships, or nonprofit work.   

  • Strong organizational skills and attention to detail. 

  • Ability to manage multiple tasks, deadlines, events, and follow-up items at the same time. 

  • Strong interpersonal and networking skills, including comfort with outreach and relationship-building. 

  • Ability to work collaboratively across teams and departments. 

  • Comfort representing Asphalt Green at public-facing events and community activations. 

  • Ability to proofread external content for accuracy, clarity, and brand alignment. 

  • Proficiency with Microsoft Office, Google Workspace, CRM systems, content management systems, media databases, or similar tools. 

  • Ability to work frequent evening and weekend events, with appropriate schedule adjustments as needed. 

  • Ability to perform the physical requirements of the role with or without reasonable accommodation. 


Preferred Qualifications

It would be helpful if you also have:

  • Bachelor's degree in communications, Marketing, Public Relations, Nonprofit Management, or a related field.   

  • Previous experience in communications, marketing, public relations, external engagement, events, partnerships, community outreach, or a similar role. 

  • Familiarity with graphic design principles or basic knowledge of Adobe Creative Suite. 

  • Experience using CRM systems, media databases, content management systems, or project management tools. 

  • Experience supporting community events, conferences, school fundraisers, street fairs, or public-facing activations. 

  • Experience working in sports, fitness, recreation, education, nonprofit, public-sector, or community-based environments. 

  • Familiarity with New York City community organizations, schools, local businesses, or stakeholder networks. 

  • Some brand ambassador experience.
