Job Summary
The Online and Distance Education Coordinator supports students, faculty, and staff engaged in online, hybrid, and extension programs. This role emphasizes helping launch and manage hybrid classes, shepherding students through their academic journey, and providing administrative and logistical coordination across campuses and teaching sites. Occasional travel is required to support extension classes and events.

Job Duties:

  • Provide general administrative assistance for the Online and Distance Education teams

  • Process financial forms, expense reimbursements, and credit card statements for the Online and Distance Education teams

  • Respond to questions and requests from extension and online students

  • Coordinate with extension sites and staff to ensure that classroom setup and audio/visual equipment meet faculty and student needs for classes, orientation, and Seminary Preview Day

  • Schedule recruiting and orientation events for extension students

  • Schedule orientation and training events for Graduate Teaching Assistants (GTAs)

  • Maintain GTA database and Teams channel

  • Coordinate and make arrangements for Dallas campus events related to extension sites and online students

  • Occasionally travel to support distance education activities

  • Help coordinate Super Weeks and block hybrid classes on the Dallas campus

  • Maintain department records, files, and databases, ensuring information is accurate and up to date

  • Assist with the preparation of reports, presentations, and correspondence for the Online and Distance Education teams

  • Provide scheduling support for meetings, conferences, and training sessions (including Zoom/Teams setup)

  • Track departmental budgets and assist with financial reconciliations

  • Assist with communication to students and faculty (email announcements, newsletters, reminders, etc.)

  • Support faculty with course material preparation, copying, uploading to learning management systems, and distributing resources

  • Monitor online learning platforms and assist in troubleshooting student or faculty technical issues by serving as a first point of contact

  • Maintain office supplies and coordinate orders for the departments

  • Assist with special projects, surveys, and initiatives to improve student engagement and retention

  • Maintain confidentiality of student records, departmental files, and sensitive information

Qualifications
Job Requirements
  • Communicate effectively and warmly with students, faculty, and staff.
  • Possess strong organizational skills and attention to detail.
  • Be proficient with computers, online learning platforms, and communication tools.
  • Preferably have experience in coordinating classes, supporting online learning, and assisting in student development.
  • Be willing to travel occasionally to support distance education activities.
