The General Management Programming Operations Budget Manager will provide budget management and oversight to the Programming Operations division, serving as the liaison to Finance and Human Resources. The ideal candidate will ensure accurate and detailed analysis, understanding, tracking, and reporting of programming budgets and departmental expenses. To provide programming and departmental budget closeout reports, analysis of expense savings or overages to improve future budgeting, and oversight of payments processing for the department. 



ESSENTIAL DUTIES AND RESPONSIBILITIES:  


  • Prepare, distribute, and analyze budget, preliminary and final closeout reports for all programming  
  • Submit institutional budgets, modifications, and project code requests to ensure Programming Operations and Finance are in sync  
  • Analyze budgets for Producer and Chief Programming Operations Officer, and General Manager, making recommendations based on previous closeout budgets and other available information  
  • Process payments, communicate with vendors, and track costs against programming budgets and administrative (OTPS) as assigned 
  • Create a system to track preliminary and final expense and income closeouts against budget, and report results to the General Manager and the Producer and Chief Programming Operations Officer 
  • Track, analyze and maintain fiscal year programming budget template numbers coordinating with multiple departments 
  • Work closely with Finance, GM and Programming to maintain effective and efficient systems of submission and communications for payments, tax paperwork, backup, budgets, reclass, cash flow, and reporting 
  • Administrate union employment requirements for BAM-produced productions, including paperwork and payment for bonding, contracts, benefit contributions, reporting, and correspondence  
  • Support General Management with company and rental reconciliation  
  • Collect and submit information to HR for payroll as needed 
  • Assess seasonal ASCAP, BMI, SESAC royalties and manage applicable payments  
  • Review credit card statements for the division ensuring correct coding  
  • Submit, track and make bank runs for petty cash and per diems  
  • Manage events, programming and rentals as assigned. 
  • Support cross-departmental communication 
  • Provide administrative support to the Producer and Chief Programming Operations Officer, and the General Manager, when necessary and as assigned
  • Other duties assigned
Qualifications
  • Excellent knowledge of Microsoft Office, specifically Excel; experience with Asana strongly preferred 
  • Excellent at analyzing financial and budgetary data 
  • Bachelor’s Degree in Arts Administration, Finance, or Accounting or equivalent work experience 
  • Professional experience in the performing arts and working with unions (2 or 3 years of experience) 
  • Experience creating, interpreting, and analyzing Budgets, Purchase Orders, General Ledger Financial system reports, and Payroll reports 
  • Ability to manage large sums of cash, credit cards, and other payments 
  • Excellent communication skills 
  • Ability to track and accomplish multiple projects simultaneously and in a timely manner 
  • Strong interest in working at a performing arts organization 
  • Extremely organized 
  • Demonstrated budget tracking and analysis experience, with a high degree of accuracy with numbers    
  • Self-motivated 
  • Excellent attention to detail 
  • Ability to work under a deadline 
  • Ability to multi-task



Compensation: The salary for this role is $68K.  This role is represented by Local 2110 and will be paid in accordance with the BAM/UAW Local 2110 Collective Bargaining Agreement. This position is full-time, exempt, and eligible for benefits. BAM provides a comprehensive benefits package including medical, dental, and vision insurance, retirement plan opportunities including both 401(k) and pension plans, as well as BAM-related benefits including access to BAM's fantastic programming. 


Working conditions: Administrative Work (Category 2):

  • The employee is primarily working from a desk but must move about on foot to accomplish some tasks, including frequently moving from one location to another. 
  • Environment: The employee is subject to both environmental conditions. Activities occur inside and outside. 
  • Location: on site at BAM 4+ days a week, with occasional hybrid days consistent with the workload and the department need  
  • Must be able to work evening and weekend hours as required
