Requirements
About the role
We are looking for someone with a positive attitude and who is willing to work hard as you will be the main point of support for multiple teams within Rokt. The Executive Assistant role is no typical admin job. It is varied and involved and is a great opportunity to be at the heart of the company with real scope for growth and progression in the long term. This role will report to the Head of Support.
Responsibilities
- Extensive and heavy scheduling for an executive on the Rokt team, monitoring, and prioritizing of the day-to-day incoming communication and requests for time
- Assistance setting up both internal and external meetings both onsite and offsite
- Coordinate internal and external meetings, logistics, agendas and communications
- Handle all travel arrangements including flights, hotels, ground transportation; obtain visas, passport renewals, or any other travel documents
- Support with any ad hoc personal-life organizational needs to ensure executives can focus on what is happening at work
- General administrative data management & collaboration for various projects required across the team
- Stay up-to-date on company happenings and priorities and keep your finger on the pulse of the organization’s needs
- Resolve expenses monthly
- Travel - Itinerary planning for executives regional and global travel
- Global credit card reconciliation
- Assist in Recruiting needs particularly with helping to schedule interviews for executives
- Provide backup support for other assistants on the team
- Meeting & greeting clients, assistance setting up meeting rooms, and ensuring both clients and teams needs are met
- Provide coverage at the reception desk as needed (2-3 days per week)
Requirements
- 2+ years in an office management or an administrative role (beneficial but not necessarily required)
- Strength in time management and organizational skills with the ability to multi-task in a fast paced work environment
- Attention to detail and accuracy
- Flexible and be able to adapt quickly to last-minute changes, taking them in stride while maintaining a pleasant manner and motivating spirit
- Take initiative to identify and execute upcoming tasks and projects
- Strong written and verbal communication skills
- Demonstrated team player
- Strong sense of professionalism and diplomacy as this role will interact with clients, candidates and suppliers as well as all levels of staff in the organisation
- Bachelors degree or equivalent preferred – would suit a recent graduate looking for an entry level role into an exciting company within the digital/advertising/technology space.
