Job Summary

Position Title: Immigration Specialist


Department: People & Culture


Reports To: Senior Director, Talent & Acquisition


Location: 2626 Halperin Avenue Bronx, NY/ in-office 5 days a week


Job Summary: The Paralegal provides legal, provider-contracting, and employment-immigration support across Essen Health Care. This role manages provider agreements from initial preparation and distribution through signature, responds to contract-related questions, and partners with the Medical Executive, Credentialing, People & Culture, Legal, and external counsel teams. The Paralegal also coordinates work-visa matters, including H-1B and J-1 cases, supports E-Verify compliance, maintains accurate records and trackers, and assists with corporate and healthcare legal matters.

Responsibilities

Responsibilities include:

Provider Contracts and Cross-Functional Support

  • Prepare, review, revise, and distribute provider employment agreements, professional services agreements, amendments, addenda, and related correspondence under the guidance of counsel.
  • Manage provider contracts from beginning to end, including sending agreements, tracking status, following up with candidates and internal stakeholders, obtaining signatures, and maintaining complete records.
  • Answer candidate questions regarding contract terms, processes, required documents, and next steps; escalate legal or negotiation matters to the appropriate leader or attorney.
  • Collaborate closely with Credentialing to align contract completion, credentialing requirements, and anticipated provider start dates.
  • Partner with the Medical Executive team to respond to contract questions, provide status updates, resolve outstanding items, and support timely provider onboarding.
  • Maintain accurate provider-contract trackers and prepare Excel reports, status summaries, and other updates for leadership.

Immigration and Work Authorization Support

  • Serve as a central point of contact for provider and employee inquiries involving work visas and employment authorization, including H-1B and J-1 matters.
  • Coordinate with immigration attorneys, candidates, employees, recruiters, and internal leaders to collect documents, track deadlines, monitor case status, and communicate next steps.
  • Support E-Verify and Form I-9 processes for visa holders and other work-authorized employees in accordance with applicable requirements and company procedures.
  • Maintain organized and confidential immigration files, case trackers, expiration dates, and renewal reminders, escalating time-sensitive matters when needed.

Legal and Contract Administration

  • Assist with the administration of the contract management system, including document intake, quality review, reporting, renewal and expiration tracking, and record maintenance.
  • Draft and file corporate resolutions, legal correspondence, amendments, addendums, and other corporate documents as required.
  • Coordinate applicable corporate filings with state, county, and federal agencies and monitor relevant deadlines.
  • Monitor relevant OIG guidance and other regulatory developments and provide pertinent updates to attorneys and leadership.
Qualifications

Job Requirements:

Required Qualifications

  • College degree in paralegal studies, legal studies, business, human resources, or a related field; bachelor’s degree preferred.
  • 3-5 years of relevant legal, paralegal, contract administration, provider onboarding, or healthcare experience; a J.D. may substitute for experience.
  • Experience preparing, distributing, tracking, and maintaining contracts or other time-sensitive legal documents.
  • Working knowledge of employment-based immigration matters, particularly H-1B and J-1 visas, and familiarity with Form I-9 and E-Verify requirements.
  • Strong Microsoft Excel skills, including maintaining trackers, sorting and filtering data, and preparing accurate reports; proficiency with Microsoft Office required.
  • Excellent written and verbal communication skills, with the ability to explain processes clearly and professionally to candidates, providers, executives, attorneys, and internal teams.
  • Strong organizational skills, attention to detail, sound judgment, discretion, and the ability to manage multiple deadlines and confidential matters.

Preferred Qualifications

  • Paralegal certificate or equivalent experience
  • Experience using iCIMS or a similar applicant tracking system (ATS) to manage candidate records, workflows, and recruitment documentation.
  • Experience within a healthcare organization, hospital, medical group, or provider-recruitment environment.
  • Experience working directly with immigration counsel and managing employment-visa case documentation and timelines.
  • Familiarity with contract management, applicant tracking, credentialing, or HR information systems.
