Position Summary

The Insurance and Risk Coordinator is responsible for managing the organization’s insurance and risk management programs, including policy renewals, claims administration, workers’ compensation oversight, and risk mitigation initiatives. Reporting to the Vice President of Finance and Treasury, this role coordinates insurance claims from initial reporting through resolution, ensures compliance with policy requirements, and collaborates with internal departments, insurance carriers, brokers, adjusters, and legal counsel to protect organizational assets and support operational continuity.

Essential Responsibilities

• Coordinate annual insurance renewals, including the preparation and submission of applications for property, general liability, professional liability, automobile, cyber, and workers’ compensation coverage.

• Manage property and casualty insurance claims from initial reporting through settlement and closure, ensuring timely submission of required documentation and compliance with policy requirements.

• Serve as the primary liaison with insurance carriers, brokers, adjusters, and third-party administrators.

• Monitor open claims, track claim activity, and follow up to ensure timely resolution and reimbursement.

• Review claim determinations, settlements, and payments for accuracy, escalating discrepancies and coverage issues as needed.

• Coordinate with facilities, operations, and program leadership to gather claim documentation, assess service impacts, and support restoration efforts following losses.

• Maintain accurate and confidential claims records, databases, and tracking systems in accordance with organizational policies and audit requirements.

• Ensure compliance with insurance policy terms, regulatory requirements, and nonprofit governance standards.

• Review and maintain vendor certificates of insurance to ensure required coverage levels are met.

• Support organizational risk management initiatives, including participation in safety committees, loss control programs, and risk assessment activities.

• Prepare claims analyses, loss trend reports, and other risk management reports for leadership and the Board of Directors.

• Assist with emergency response and damage assessment efforts following incidents affecting agency facilities or operations.

• Oversee workers’ compensation claims, including claim reviews, reserve analysis, and coordination with brokers, carriers, and third-party administrators.

• Participate in workers’ compensation audits and annual reviews of classification codes in collaboration with Human Resources and insurance providers.

• Collaborate with internal and external legal counsel on claims involving litigation, subrogation, coverage disputes, or other legal matters.

• Prepare claim summaries, supporting documentation, and reports for legal review, mediation, arbitration, or court proceedings.

• Monitor litigation-related claims to ensure alignment between claims handling, legal strategy, and insurance coverage requirements.

• Identify trends and opportunities to reduce organizational risk and support the implementation of corrective and preventive measures.

• Perform additional duties and special projects as assigned.

Qualifications
  • High school diploma or GED required; Associate’s or Bachelor’s degree in business, administration, finance, or a related field preferred.
  • 1–3 years of experience in insurance claims coordination, facilities administration, risk management, or related administrative roles.
  • Knowledge of property and casualty insurance claims processes.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and insurance/claims management software systems (e.g., Risk Master, Origami, or similar platforms).
  • Ability to manage multiple priorities and deadlines.
  • Ability to learn and utilize claims tracking databases and document management systems.
  • Strong written and verbal communication skills.
