Role Summary
The Junior Receptionist serves as the first point of contact for clients, visitors, and callers to our New York office. This role supports the daily administrative operations by handling front-desk duties, routing inquiries, assisting internal teams, and ensuring a professional and welcoming environment.
Core Duties/Responsibilities
The successful candidate will be responsible for the following:
Greet clients, visitors, and vendors in a courteous and professional manner. Professionalism and a polished demeanor is a requirement.
Answer and direct incoming phone calls, emails, and other correspondence promptly and accurately.
Maintain the reception area and meeting rooms to ensure a neat, organized, and professional appearance.
Schedule and coordinate client and internal meetings, including conference room bookings.
Receive and distribute mail, packages, and courier deliveries.
Support the preparation and scanning of client documents related to shareholder transactions, proxy materials, or account maintenance.
Assist with data entry, filing, and basic record-keeping for client and shareholder files.
Provide general administrative support to client service, operations, and compliance teams as needed.
Maintain office supplies inventory and coordinate replenishment.
Uphold confidentiality and adhere to all company policies and regulatory requirements.
Skills, Capabilities and Attributes
The successful candidate will demonstrate the following experience, skills and behaviors:
High school diploma or equivalent required; associate degree or administrative coursework preferred.
1+ year of experience in an office, customer service, or administrative role (financial services experience a plus).
Strong communication and interpersonal skills, with a polished and professional demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent organizational skills and attention to detail.
Ability to handle multiple priorities and maintain composure in a fast-paced environment.
Reliability, punctuality, and a team-oriented attitude.
Proven ability to interact with c-suite.
Compensation
- $20.00-22.00 hourly
