What We Need  

The Manager, Order Confirmation reports directly to the Director, Revenue Cycle Management (Order Confirmation) and is accountable for the day-to-day leadership, quality, and performance of the Order Confirmation function. This includes oversight of Team Leads and outsourced/BPO partner teams responsible for VOC order confirmation, Fulfillment order confirmation, New Invoice and Held Invoice processing, and PAR renewal, recertification, and documentation renewal workflows. 

This role serves as the key operational partner to the Director — translating strategy into daily execution, driving process consistency and quality across teams, identifying and resolving trends and barriers in order confirmation and held sales, and ensuring the department is prepared and represented in cross-functional and business review settings. 

What You Will Do 

  • Oversee assignment prioritization across the Order Confirmation function, including reallocating resources for special project pushes and time-sensitive initiatives. 
  • Partner with the Director on process updates and continuous improvement initiatives, including case management (CM) ticketing workflows. 
  • Conduct high-level review of order confirmation and held sales trends and barriers; escalate emerging issues to the Director and partner with respective departments to resolve root causes and improve processes. 
  • Manage time approval and submission (Paylocity) for direct reports, ensuring accuracy and timeliness. 
  • Maintain strong working knowledge of product tools and system functionality to identify opportunities for process and efficiency improvements. 
  • Lead quality auditing of order confirmation reviews, including management of QA review results from outsourced/BPO partners; partner with Team Leads to identify and close training gaps. 
  • Support and help facilitate high-level departmental meetings on process impacts, representing the Director when needed. 
  • Assist with weekly business review calls across all Order Confirmation teams; manage and track resulting action items and takeaways for self, the Director, and Team Leads. 
  • Support resolution of escalations originating from Strategic Account Executives (SAEs) and proactively identify preventive measures to reduce repetitive supplier-driven escalations. 
  • Provide day-to-day leadership, coaching, and performance management to Team Leads across Order Confirmation functions, including: 
    • VOC order confirmation teams (including outsourced partner teams) 
    • Fulfillment order confirmation teams 
    • New Invoice, Held Invoice, PAR renewal, recertification, and documentation renewal teams 
  • Monitor staffing levels, workload distribution, and training needs across internal and outsourced/BPO partner teams to ensure consistent coverage and performance. 
  • Perform additional duties and support strategic initiatives as assigned to support organizational priorities.

What You Have

  • Bachelor's degree preferred. 
  • 3–5+ years of progressive leadership experience in healthcare revenue cycle management, order confirmation, or a related operations function, including experience managing people leaders or team leads. 
  • Working knowledge of order confirmation, held sales, PAR/recertification, and revenue cycle workflows within a DME/HME or healthcare operations environment. 
  • Experience managing or partnering with outsourced/BPO teams preferred. 
  • Strong proficiency in Microsoft Office and the ability to effectively leverage order management, billing, and reporting systems/tools. 
  • Proven ability to manage complexity, prioritize competing demands, and drive results in a fast-paced environment.

Compensation

The base salary range for this position is $83,200 – $104,000 annually. This range reflects the anticipated compensation at the time of posting. Final compensation will be based on factors such as relevant experience, demonstrated skills, internal equity, and prevailing market conditions. Compensation discussions are encouraged throughout the hiring process.
