National Subrogation Services (NSS) is seeking a detail-oriented and reliable Administrative Assistant to support the day-to-day operations of our office. This is a part-time position requiring approximately 20 hours per week, typically worked over 2-3 days per week.
The ideal candidate is organized, proactive, customer-service focused, and able to manage multiple responsibilities in a fast-paced professional environment.
Responsibilities- Receive, stamp, sort, and distribute incoming mail and packages.
- Prepare and coordinate outgoing mail and UPS shipments to ensure timely delivery.
- Open and establish new matters in the firm’s claims processing software.
- Maintain kitchen and breakroom supplies, including stocking refrigerators and refreshments.
- Monitor office supply inventory and place orders as needed.
- Assist with office equipment maintenance, including troubleshooting basic issues, coordinating service calls, and managing toner and supply inventory.
- Maintain postage machines funds and supplies.
- Answer and direct incoming telephone calls in a professional manner.
- Serve as a liaison with building management regarding maintenance requests, safety protocols, and facility-related issues.
- Provide general administrative support to ensure efficient office operations.
- 1-3 years of administrative, clerical, or office support experience required.
- Strong organizational, communication, and multitasking skills.
- Excellent attention to detail and accuracy.
- Ability to work effectively with employees at all levels of the organization.
- Strong reading comprehension, proofreading, and problem-solving abilities.
- Proficiency with technology and the ability to quickly learn new software applications.
- High school diploma or equivalent required; college coursework or degree preferred.
The salary range for this role is $26.00 - $30.00 per hour and represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
