Group Nine Media is seeking a hands-on and highly organized individual looking to build the foundation for a career in Video Production. The Office Coordinator is a hybrid role helping maintain our video production studio and offices in Chelsea, NYC. This role will report to the Group Nine Director of Facilities and will work closely with Thrillist’s Head of Video to provide support an office of ~35 employees, across all levels of daily activity.

The ideal candidate is energetic and self motivated, and able to thrive as a multi-tasker. The Office Coordinator will be expected, amongst other things, to manage studio setup and breakdown, and will learn the in's and out's of a fast-paced, multifaceted video studio.

The successful candidate is a highly organized, responsible individual, who works well on their feet and communicates efficiently and effectively.

Responsibilities

• Act as the point person for phone calls, visitors, and vendors/deliveries, making everyone feel welcome and connecting them to the right people
• Act as the point of contact with the cleaning crew to ensure a clean, orderly space
• Act as the point of contact with Group Nine IT to troubleshoot basic connectivity issues (WiFi, phones, hardline, server, etc.)
• Create a fun and friendly work environment, planning celebrations, and other team events
• Maintain the studio calendar; setup and coordinate all OOO meetings; answer and direct all calls; coordinate messengers and delivery services to manage studio setup and breakdown
• Greet guests and facilitate conference room booking
• Keep the studio running smoothly; organize equipment maintenance and support; ensure office and kitchen supplies are replenished on a regular basis
• Research as necessary (various vendors, production techniques, etc.)
• General project and studio task assistance
• Liaise with Director of Operations and building management regarding facility upkeep
• Daily errands

Qualifications

• Insanely organized – you have lists, systems, processes to keep everything running smoothly. Laser-focused attention to detail a must
• Positive and upbeat – you radiate warmth and good energy
• The ultimate team player – you look for ways to help out and know there is no job too big or too small to do well
• Calm under pressure – you know how to prioritize and get things done, and you persevere through challenges with a good attitude
• Always looking to improve yourself and the processes around you. Intuitive sense of what needs to be done

• Able to instantly build strong rapport with both colleagues and strangers
• Skilled in finding solutions without spending too much money
• Familiarity with video production processes a plus, but not required
• Willing to learn about video equipment (Camera, Audio, Lights)
