We are currently looking for an Office Manager to join our team

Compensation

Expected Salary (NYC): $85,000 - $120,000 USD

What  you can expect in this role:

The Office Manager is responsible for ensuring the smooth, professional, and efficient day-to-day operations within one or more corporate offices. This role supports employees, leadership, and executive teams (SVP and EVP level) by managing office logistics, coordinating meetings and events, providing administrative and executive support, supporting onboarding, and ensuring a welcoming, well-organized, and functional workplace. 

This position requires a skilled, resourceful professional who applies experience, judgment, and initiative across a wide range of administrative and executive support tasks. The role operates with a high degree of autonomy, adapts established processes, and collaborates closely with all teams, including senior leadership.  

More specifically, here are some of the key responsibilities:

Office Management 

  • Manage the daily operations of the office to ensure a clean, organized, and professional environment at all times. 
  • Oversee meeting spaces, including setup, reset, and coordination of cleaning or maintenance as needed. 
  • Liaise with building contacts for services such as cleaning, repairs, amenity rentals, mail, and deliveries. 
  • Manage office supplies and vendor orders, including plants, decor, snacks, coffee, and catering.
  • Organize daily lunch orders, special catering, and social or wellness activities.
  • Welcome visitors and support general reception responsibilities. 
  • Manage office-related costs and streamline processes while ensuring budget compliance. 

Meeting & Agenda Coordination 

  • Manage office meeting calendars and conference room scheduling.
  • Coordinate logistics for internal and external meetings, including room setup, catering, and materials.   
  • Support SVP, EVP, and C-level meetings by ensuring preparation, coordination, and smooth execution.  

Onboarding & People Support 

  • Provide direct administrative and executive support to SVP and EVP teams, including calendar management, meeting coordination, follow-ups, and document preparation.
  • Manage multiple priorities and sensitive requests with discretion, professionalism, and efficiency.
  • Assist with the preparation of presentations, reports, internal communications, and executive materials. 

 Administration / Administration 

  • Manage ad hoc administrative tasks supporting multiple leaders and their teams with reports, letters, and documentation. 
  • Manage company-branded materials, clothing, and gifts in close collaboration with Marketing.
  • Support communications related to office operations, events, or other relevant matters. 

 

Here's the profile we're looking for:

Education & Professional Background 

  • 3-5 years of experience as an Administrative Assistant or Office Manager in a corporate environment. 
  • Demonstrated ability to work independently, maintain confidentiality and discretion, manage multiple priorities, and exercise sound judgment. 
  • Experience supporting senior leaders. 
  • Strong organizational, communication, and problem-solving skills. 
  • Proficiency with standard office and scheduling tools (Microsoft Office, Slack, outlook agenda management or similar). 
  • Vocational training, certification, or ongoing professional qualification is an asset. 

Preferred profile 

  • Resourceful, detail-oriented, and execution-focused 
  • Discreet and trusted with sensitive information 
  • Proactive and solution-oriented 
  • Comfortable in a fast-paced, executive-facing environment 
  • Takes pride in creating a well-run, welcoming office 
  • Financial accountability is primarily related to cost awareness and proactive expense management within the office or assigned projects. 
  • Accountable for the quality, accuracy, and timeliness of own deliverables. 

More details:

  • Full-time, permanent.
  • Monday to Friday, 4 days onsite, 1 WFH.
