The Office Operations Coordinator plays a critical role in ensuring the day to day experience of the office runs smoothly as the company continues to grow. This role supports a fast growing company and helps maintain a well organized, welcoming, and efficient workplace environment.

Reporting to the Office Manager, this person will take ownership of daily operational execution so that broader systems, processes, and long term planning can continue to scale with the business. The coordinator will be the face of the office for employees, guests, vendors, and new hires, helping create a consistently positive and organized workplace experience.

This is a highly visible role with broad exposure across the company, working closely with teams responsible for technology, people operations, talent acquisition, events, and building operations. The role is well suited for someone who enjoys working with people, solving problems in real time, and managing multiple operational workstreams simultaneously in a fast moving environment.

Key Responsibilities

  • Serve as a welcoming and professional presence for employees, guests, and vendors while ensuring a positive and organized office experience.
  • Maintain key operational systems such as room bookings, guest registration processes, equipment requests, and internal workplace tools.
  • Support the onboarding experience for new hires by coordinating logistics and ensuring new team members have what they need on day one.
  • Manage vendor coordination and service relationships including office supplies, catering, and operational vendors as needed.
  • Identify operational gaps or inefficiencies and proactively flag issues before they escalate.
  • Support and execute internal office events, social gatherings, and recurring in-office programming.
  • Ensure the office remains clean, organized, and efficient (we have a full time cleaning crew), and support when needed for office-related issues, including maintenance and repairs.
Requirements
  • 1-2 years of experience in office operations, office management, administrative coordination, hospitality, or event support.
  • Based in New York City or willing to relocate, and able to work in person 5 days/week.
  • Experience managing or supporting operational responsibilities in a fast paced environment.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Strong communication skills and the ability to interact professionally with employees, guests, and vendors.
  • Proficiency with Google Workspace including Calendar, Sheets, Docs, and Slides, along with experience using Slack for team communication.
Strongly Preferred
  • Experience coordinating vendors, catering services, or office related service providers.
  • Experience supporting internal events, office programming, or workplace culture initiatives.
  • Background in hospitality, retail management, events, or other customer facing operational environments.
  • Prior experience working in a startup or high growth company environment.
  • Familiarity with office technology systems, meeting room equipment, or workplace operations tools.
