Job SummaryPosition Title: Onboarding Coordinator
Job Summary: The Onboarding Coordinator plays a vital role in welcoming and integrating new employees into the organization. This position ensures a smooth, compliant, and engaging onboarding experience for both clinical and non-clinical hires. Working in a hybrid capacity, the Specialist coordinates preboarding, documentation, system access, orientation scheduling, and cross-functional communication with recruiting, IT, training, and compliance teams.
Responsibilities- Coordinate and track onboarding tasks for new hires, including document collection, background checks, and system setup.
- Send welcome emails, instructions, and orientation materials in advance of start dates.
- Liaise with Recruiting, Credentialing, and IT to ensure timely profile creation (e.g., HRIS, LMS, timekeeping tools).
- Conduct Day 1 onboarding sessions (virtual or in-person) and facilitate I-9 verifications.
- Ensure compliance with onboarding policies, including federal/state verification requirements and internal checklists.
- Update onboarding trackers and maintain accurate employee records in systems like iCIMS or other ATS/HRIS platforms.
- Support quarterly audits, visa verification reviews, and reporting needs. Deliver excellent service and communication to new hires and internal teams.
Qualifications
- 2+ years of HR, onboarding, or talent operations experience (healthcare experience preferred)
- Strong organizational and communication skills
- Familiarity with onboarding systems (e.g., iCIMS, ADP, Paycom, NetSuite)
- Ability to manage multiple deadlines while maintaining attention to detail
- Proficiency in Microsoft Office and virtual platforms (Zoom, Teams)
- Able to work independently in a hybrid environment with minimal supervision
Work Environment
Hybrid: Combination of remote work and in-person support at designated office(s) Occasional in-person attendance for New Joiner Orientation and I-9 verification required
$21.00-$26.00 an hour
