The Onboarding Specialist provides administrative support throughout the employee onboarding process. This role coordinates onboarding activities, maintains HRIS and personnel records, supports compliance requirements, and responds to employee and supervisor inquiries. As part of the Human Resource Team, you’ll help ensure a smooth, accurate, and compliant onboarding experience for new employees.

Key Responsibilities
  • Deliver an exceptional candidate experience from initial contact through onboarding.

  • Coordinate background checks, fingerprinting, and required employment clearances.

  • Manage onboarding for new hires, transfers, and temporary staff.

  • Coordinate new hire appointments, paperwork, credential verification, and ID cards.

  • Create and maintain accurate, compliant employee files.

  • Conduct employee file audits to ensure required documentation is complete.

  • Maintain accurate employee records and updates in ADP.

  • Support employees and supervisors with basic HR policy and procedure questions.

  • Build employer brand visibility through candidate-focused events and initiatives.

  • Review employee documentation to ensure compliance with agency and funder requirements.

  • All other duties as assigned.


Required Qualifications

  • Bachelor’s Degree preferred
  • 1-2 years of experience as an HR Assistant plus 1 year of experience in Recruiting
  • Ability to work in a high-volume environment, including ability to balance priorities and meet important deadlines
  • Strong attention to detail and follow through
  • Effective communication and customer service skills
  • Bilingual Spanish preferred

Position Type/Expected Hours of Work

This is a full-time position. Monday through Friday. Work hours options are 9:00 am - 5:00 pm, 9:30 am - 5:30pm
