The Operation Assistant will support the College Passport team through administrative work and some direct support with the young people. This person will welcome new participants to the College Passport program and help them navigate the different services and provide coverage as needed to monitor and support young people participating in academic services like tutoring. The Operation Assistant will also enter intake data and support the team with data management and other administrative responsibilities. The Operation Assistant will act as part of an inter-disciplinary team that seeks to increase the number of youths from disadvantaged backgrounds who complete high school or equivalent and enroll in post-secondary education institutions of their choice. This is accomplished through one-to-one tutoring and small and large group workshops that build academic, social, and emotional college readiness.


Responsibilities:

  • Manage administrative operations of evening and weekend programs including tracking attendance, metro cards, food and supplies.

  • Support and execute evening and weekend College Passport volunteer-delivered programs including SAT prep, tutoring, ESOL, service learning and leadership development.

  • Serve as an academic support with the learning strategist in different classrooms.

  • Facilitate intake for new young people enrolling in college passport connecting them to college advisors and academic support services and scheduling follow-up appointments.

  • Enter intake data into Salesforce database and assist with overall data management.

  • Provide general administrative and operational support to the College Passport team.

  • Conduct outreach to internal and external stakeholders as needed based on program needs

  • Assist in the coordination of special events (volunteer orientations, fairs, trips).

  • Work with program supervisor and collaborate with other staff to connect students to other programs beyond College Passport and support their ongoing engagement.

  • Provide feedback and suggestions for program improvement.

  • Demonstrate an understanding of and practice the principles of positive Youth Development.

  • Participate in case conferencing.

  • Handle any appropriate responsibilities and functions as assigned by supervisor and/or director.


Qualifications:

  • Bachelor’s degree required.

  • At least one experience in youth development, preferably college access/success and/or employment/career programs

  • Willingness to travel between university settlement sites.

  • Good computer skills. Familiarity with Salesforce or other case management databases is a plus.

  • Highly organized and flexible

  • Attention to detail and excellent communication skills.

  • Ability to facilitate groups and other learning activities and to foster team cohesion.

  • Bilingual English/Chinese or English/ Spanish preferred.


Work Schedule: Full time, Monday - Friday, 10:00am - 6:00pm, 35 hours per week, Hybrid Schedule
