Business Services Coordinator
- Ensure appropriate coverage of Partner and Principal support needs; manage schedule to cover for planned (vacation) and unplanned (illness, etc.) staff absences
- Provide onsite supervision for the Venture Operations Administrative team
- Work closely with Recruiting team to hire new team members as needed; including being part of the interview process
- Seek to continuously improve quality, morale, knowledge and teamwork through strong communication and daily involvement in coaching and development
- Schedule EA/AA team meetings and create agenda in collaboration with the Business Services Manager
- Develop and implement EA/AA team training and development programs in order to orient and support retention of staff
- Daily problem solving and prioritization of competing demands
- Keep abreast of time management, event planning and communication skills training/conferences/technology
- Provide performance feedback and goal planning; work with HR to support onboarding and termination of staff if necessary
- Liaise with property management when facility matters need to be discussed and resolved
- Own relationship with local supply vendors
- Manage office budget in partnership with the Business Services Manager
- Liaise with Business Services Manager to communicate issues in the office and ensure tight linkages on solutions to these issues via DV processes and procedures
- Assist in keeping the office a safe and healthy environment; administration of emergency plan, maintain safety documentation including emergency contact lists and emergency supplies as needed
- Ensure ongoing maintenance and upgrades of facilities by doing regular audits to determine what may be needed
- Lead social calendar of events in partnership with the Business Services Manager; provide support for event planning as needed, including offsite events as well as office retreats and onsite morale events
- Manage and coordinate the flow and schedule of the DV center and rooms for all client meetings, venture teams and activities
- Lead/participate in special projects as needed for the DV NY Leadership team
- Special projects as assigned
- Bachelor's degree strongly preferred
- 5-7 years of work experience in an Executive Assistant position preferably in a professional services environment or tech environment, or experience in a customer service role required; including at least 2 years managing an EA/AA team
- Computer proficiency in Windows, Word, Excel, PowerPoint and Outlook
- Infrequent travel may be required
- Occasional evening and weekend work may be required
- Strong service orientation and sensitivity in responding to customer needs
- Demonstrated strong interpersonal, communication and facilitation skills
- High degree of flexibility in a fast-paced environment
- Ability to handle difficult situations with poise, understanding and tact
- Ability to handle competing priorities, keeping constant sight of the overall objectives
