The Executive Assistant role
We are seeking a resourceful and diligent Executive Assistant to support our CEO. The ideal candidate is detail oriented, a fast learner, highly organized, a strong communicator, and has an unfailing work ethic. Business acumen is a plus! Solving complex operational puzzles, juggling multiple commitments, and helping others are activities that this person enjoys, even outside of work.
Key responsibilities:
- Collaborate closely with the CEO to ensure his calendar maximizes time and allows the Leadership Team to do their best work.
- Organize internal and external meetings, booking conference room space, ordering catering, organizing agendas, preparing materials, and ensuring the availability of attendees.
- Communicate, on behalf of our executives, with external parties, like investors, business partners, journalists, and other important stakeholders.
- Prepare daily and weekly schedule briefs for the leaders on ‘their desk.’
- Communicate with internal team members and external partners on messaging related to the leaders’ needs/availability.
- Coordinate travel arrangements, ensuring tight schedules and well-articulated itineraries.
- Prepare expense reimbursements, including maintaining and submitting required receipts.
- Anticipate and address communication and efficiency issues before they become problems.
- Independently handle general administrative tasks as needed and requested
Characteristics of a successful candidate:
- 3+ years of administrative support to detail-oriented executives.
- Bachelor's degree or above, or equivalent work experience.
- Excellent written and oral communications, including diplomacy, explaining ‘the why’, and concisely structured emails.
- Intrinsic organization and time management skills; is a fast-thinker who can quickly piece together complex solutions.
- Strong interpersonal skills and ability to multitask in a fast paced environment.
- Delightful and professional demeanor at all times with great attention to detail.
- Strict confidentiality; respects the hard line between work and friendship.
- Flexibility and the ability to thrive in constant ambiguity.
- Expertise with Google suite (docs, sheets, slides, calendars, forms), and Microsoft suite.
- A strong eye for effective and professional slide design.
- Technical fundamentals and resourcefulness regarding laptops, Zoom, office equipment, copiers, etc.
