Role Mission:

Provide executive support to the CEO and President to enable them to be more effective and impactful to LeagueApps.

 

Responsibilities

  • Proactively manage calendars for CEO and President, including coordination and scheduling of internal meetings, external meetings, and events, as well as prioritization of pressing or sensitive matters.  
  • Act as a point of contact for meeting scheduling and greet visitors for in-person meetings. 
  • Support meeting preparation as needed, including presentation decks, agendas, and sharing reference materials. Manage creation of decks and materials as needed.  
  • Perform office duties like ordering supplies, sending gifts, meeting setup and breakdown, and managing contacts. 
  • Track and categorize expenses.
  • Provide assistance with communications, including writing and editing emails, preparing communications on executives’ behalf, and supporting inbox management.
  • Facilitate effective communications and coordination with other members of the Leadership team.
  • Research, arrange, and book travel and maintain travel itineraries .
  • Track and help facilitate completion of key deliverables and following up on outstanding items and take minutes in designated meetings.
  • Support project management and organization via Notion. This includes supporting task management, following up on delegated tasks, and using project priorities to help inform scheduling decisions. 
  • Support and coordination for the execution of legal documents and agreements. 
  • Support and coordination in preparation for events and speaking engagements, working with members of the Community & Marketing teams. 

 

Experience Required

  • 5 years of executive assistant experience in a dynamic, high-growth environment.
  • Previous experience partnering with senior management in a fast paced, innovative environment.
  • Strong written and verbal communication skills. Ability to communicate clearly and effectively with senior leaders and external partners.
  • Outstanding organizational and time management skills and skillful execution of administrative activities, with high attention to detail, organization and process.
  • Problem-solving and strategic thinker who realizes when to ask for backup or explanation.
  • Experience with Google Workspace (formerly G Suite - Drive, Docs, Slides, Sheets, etc) and Microsoft Excel. Experience with project management tools such as Notion a plus.
  • Demonstrated ability to handle confidential material with the utmost discretion.

Location

We are located right off of Union Square across from the famous Irving Plaza. Currently, we are working fully remotely.
