We are looking for an experienced Executive Assistant to provide support to members of our Executive Team. You will partner in lock-step with the Senior Executive Assistant to provide support of the Executive Team to ensure efficient management of time while supporting the vision for the culture of the team. The right person for this role is a masterful problem-solver and an organizational force given complex calendaring and heavy travel. You must also possess an open attitude to change which is part and parcel of an evolving startup environment.
As an Executive Assistant at Maven, you will:
- Own and manage daily calendars; communicate in lock-step with Executive Team as complex schedule tends to shift around
- Act as the point of contact between internal/external stakeholders
- Interact via email in professional tone with various stakeholders, investors and all internal employees
- Prepare, process, and maintain up-to-date expense reports on behalf of CFO & Executive Team
- Booking and coordination of extensive international and domestic travel. Creation of travel itineraries as necessary
- Follow-up with the leadership team, various stakeholders, and other assistants to support driving ongoing work forward
- Help with various administrative and office duties as needed
We’re looking for you to bring:
- 3+ years of experience supporting an Executive (VP or above)
- Excellent oral and written communication skills, detail orientation and demonstrated organizational and project management skills.
- Extensive experience with G Suite; ability to use Google Slides/Powerpoint to draft presentations
- History of working with highly confidential information
- Must be extremely flexible team player
- Results oriented with an ability to operate multiple projects.
- Excellent organizational skills with an ability to think proactively and prioritize work
Helpful experiences and skills (if you don’t have them, you can learn them with us!):
- Global travel management experience and knowledge of international time zones
- Ability to work quickly and efficiently whenever last-minute changes to meetings/schedules occur
- Great interpersonal skills and the ability to interact with staff at all levels.
