About the Role
The Executive Assistant provides administrative support and serves as a point of contact for clients, and other external constituencies. Experience interacting with high level executives and the ability to manage up through tact, anticipation of needs, strong attention to detail, and a high level of confidentiality. You will often be communicating, scheduling, and collaborating with our team, clients, potential clients, and investors.
Responsibilities
- Manage the calendars of Executive Team members with a high level of detail coordinating, prioritizing daily tasks.
- Arrange complex and detailed travel plans.
- Process Expense reports.
- Manage logistics for meetings and other company events as needed.
- Format information for internal and external communication such as, memos, emails, presentations, and reports.
- Help move along deliverables, facilitate special requests, and contribute/execute on last-minute ideas.
- Handle occasional personal tasks during the workday (ie. ordering lunch) to ensure that the executive is supported and can remain laser-focused on the business.
- Take the initiative to improve operations and office conditions throughout the day.
- Work as part of the larger facilities and administration team.
- Display leadership throughout the office effectively setting the bar for other administrative/operations team members as well as all members of our organization.
Qualifications
- Undergraduate college degree.
- Prior experience as an Executive Assistant working with C-suite level members.
- Proficient using Microsoft Office (Word, Outlook, Excel, & PowerPoint).
- Excellent written, verbal, and interpersonal communication skills.
- Track record of managing schedules and processes in a fast-paced environment.
- Comfort operating within a dynamic environment and executing in situations where paths are uncharted.
- Ability and willingness to provide executive support beyond the scope of a typical workday.
