Part-Time EA Role

Location: NYC or Remote

Here at Signpost, we are looking for a talented, Part-Time Executive Assistant to join our team and help support our CEO and executive team. About the Role: 

 

- Be our busy CEO’s trusted advisor who keeps him on track and ensures he’s always in the right place at the right time.

- Manage the CEO’s tightly-packed and constantly changing daily schedule of meetings, interviews and phone calls. 

-Stay ahead of meeting scheduling and ensure that follow up with board members, candidates and internal team are always on track. 

- Schedule and coordinate with internal and external parties regarding calendar meetings, events for CEO, board members and candidates.

- Tightly budget meeting time so that the CEO is focused on the right tasks, given agreed priorities.

- Develop and assist with preparation of presentation material, review and summarize reports and documents and prepare meeting materials / agendas where needed.

- Manage executive relationships and engagements, especially with interview candidate scheduling for priority roles. 

- Screen incoming emails and requests, prioritize items for follow-up, correspond with key contacts, as needed.

- Coordinate with the team to ensure smooth, open communication. Ensure more effective and productive access to the CEO.

- Schedule and plan business travel for the leadership team and off-sites (where needed) 

- Ensure deadlines are met, questions are answered and requests are addressed proactively and promptly.

- Coordinate travel for CEO, including visits to investors and other Signpost offices.

- Off-Site planning - Partner with CEO to plan quarterly off sites for the exec team and ad-hoc off sites for functional groups

- Exec coordination - Help manage the exec group meeting schedule and organize logistics accordingly. 

 

Qualifications: 

 

 

- Experience interacting with executives at all levels.

 

- Must be a highly organized, self-starter with ability to handle multiple priorities at once.

- Adaptable and resourceful in a dynamic environment.

- Must have strong verbal and written communication skills.

- Must be a collaborative team player with great initiative.

- Superior judgment, professionalism, poise, ability to maintain the highest level of confidentiality and assertiveness.

- Superior follow through skills, detail and customer service oriented.

- Must be intuitive, able to anticipate needs and develop options.

- Demonstrated proficiency in Microsoft Outlook, Word, PowerPoint, and Excel as well as the ability to stay on top of new tools and technologies with an interest and passion to constantly learn.

- Bachelor’s Degree or related experience a plus

 

Please note: This role will be a maximum of 12-20 hours per week to start. Ideal candidate can be someone who could work with us part-time on site (3 hours per day, 4 days per week) OR 1-2 days per week remote, but with available to check-in and stay on top of important scheduling needs.
