About the role

We're seeking a People Operations Coordinator with a strong focus on onboarding and new hire experience. At the core of this role is the ability to run a high-volume, end-to-end onboarding process with precision and care, ensuring every new hire feels prepared, welcomed, and set up for success from day one. This role also supports the broader day-to-day operations of our People function in a high-growth environment, making it a great fit for someone looking to build a well-rounded foundation in HR operations.

 

Key Responsibilities

Onboarding and new hire experience

  • Coordinate end-to-end onboarding for new hires, including pre-employment background checks, new hire paperwork, I-9 verification, travel arrangements, and any other pre-boarding coordination

  • Serve as the primary point of contact for new hires throughout their onboarding journey, managing start date tracking and ensuring a smooth transition into the company

  • Prepare and distribute onboarding materials including employee handbooks and policy documents

  • Own the updating and management of new hire training materials and live sessions, both in the LMS and in person, in coordination with cross-functional teams

  • Collaborate with IT to ensure new hires have system access set up, and conduct laptop setup sessions with new employees

  • Continuously look for ways to improve the onboarding experience and streamline processes for scale

HR systems and administration

  • Manage transactions in our HRIS, including adding new hire profiles, processing status changes, and handling off boarding

  • Maintain accurate employee and company records, including personnel files and org charts

  • Draft employment verification letters, offer letters, and other employment-related correspondence

  • Ensure accuracy and compliance with company policies and legal requirements, including wage rate notices, labor law postings, and required training such as harassment prevention

  • Support immigration processes and documentation for candidates and existing employees

  • Assist with auditing HR data and identifying opportunities to improve data integrity and process efficiency

  • Support compensation and benefits administration, including helping employees navigate enrollment, changes, and general questions

Employee relations and manager support

  • Serve as a reliable first point of contact for employee questions related to HR policies, benefits, and general people operations

  • Support managers with people-related processes including performance review cycles, promotion documentation, and role changes

  • Help coordinate and track performance management cycles, ensuring timelines are communicated and followed across the organization

  • Assist with sensitive employee situations with professionalism and a high degree of discretion

Employee experience and culture

  • Manage company swag inventory and coordinate distribution for new hires, birthdays, work anniversaries, and other employee engagement moments

  • Coordinate employee recognition efforts including anniversary and birthday gift-giving programs

  • Help plan and execute in-office culture programming and company social events

  • Assist teams and managers with ad-hoc requests, including coordinating team-specific events and off-sites

  • Contribute to fostering a strong, positive company culture through employee engagement initiatives and other internal programs

Cross-functional and project support

  • Support HR-related projects spanning administration, compliance, employee experience, and organizational culture

  • Partner with Finance, Legal, and other teams on cross-functional people initiatives such as headcount planning, policy updates, and compliance reporting

  • Assist with building and documenting scalable HR processes as the company grows

  • Take on stretch projects and ad-hoc assignments across the people function as business needs evolve

Requirements

  • 1 to 2 years of experience in HR Operations, Compensation and Benefits, or a related field

  • Proven experience with people operations fundamentals, including I-9 verification, onboarding workflows, HRIS data entry, and HR compliance basics

  • A genuine interest in the people function and a desire to grow within HR and people operations

  • Strong interpersonal skills coupled with excellent written and verbal communication

  • Exceptional organization and detail orientation, with a strong focus on data accuracy and integrity and an unmatched ability to manage multiple priorities

  • Comfortable working in a fast-paced environment and staying composed when priorities shift

  • Data-savvy with proficiency in Excel or Google Sheets; comfortable building and maintaining trackers, running reports, and working with people data to surface insights

  • A natural bias toward automation and process improvement; you look for opportunities to reduce manual work and build more scalable, efficient systems

  • Able to apply discretion to sensitive situations and maintain a high level of confidentiality

  • Self-starter with natural curiosity and a motivation to problem-solve and troubleshoot

  • Comfortable interacting with and supporting employees at all levels of the organization

  • Tech-savvy and quick to learn new tools and systems

  • Willing to work in person from our Midtown Manhattan office 5 days a week

Job Compensation Range:

The salary range for this role is $85,000 - $115,000. EliseAI offers a competitive total rewards package which includes base salary, equity, and a comprehensive benefits & perks package. Exact compensation inclusive of salary and any bonuses is determined based on a number of factors including experience and skill level, location and qualifications which are assessed during the interview process. Additional details about total compensation and benefits will be provided by our Recruiting Team during the hiring process.
